- In this video we get an introduction to using Power BI with SharePoint Online list data. Pretty exciting stuff. We start at the beginning of installing Power BI Desktop and don't stop until you have a report published to SharePoint Online using the preview web part. Even better is I use Star Wars game data for my list.
For support, training, or more information about Power BI check out www.boldzebras.com I need to add the Power BI specific stuff to the website but I promise I will get to it.

I mostly work on SharePoint online but this vdo helped me to understand and get my doubt clear and also helped me to resolve an issue which i was working for a client where adding power bi report on SharePoint online and was getting error,you are awesome shane, please keep posting this kind of knowledge sharing.

Hi Shane. Great video. I want to make a simple report from a Microsoft list with images. Should I be using power bi? I kind of thought that functionality would be built into Microsoft lists.

Hi Shane... I know its probably been a while since you did power bi stuff however.... I would like to visualise content from a sharepoint lists. One list uses a lookup to the another list for one of its columns. I import both to power bi desktop, create a relationship etc which seems like it should work (one to many - master list supplying multiple uses of the lookup value to the table that I want to display ultimately), however the "lookup column" only every shows the ID. I tried selecting the origin list data but it shows nothing in the calculated fields in the chart etc. I'm missing some linking there but not sure what? In power apps its the "lookupbox.selected.value" type thing which shows correctly in Sharepoint etc so why not in Power BI?

Hi Toan - No, unfortunately, PowerApps does work with Access as a data source that I know of. Could you move to Azure SQL instead?
Shane if you organization does not allow you to change the settings in the browser you could still manually download the power bi report then upload this report to the SharePoint document library as a workaround correct?

Thanks for this video. Got a question though - how can I filter data before its loaded to report from sharepoint list. As we know there is a limit of 5000 that we can load from SP so we would need to filter it.

I am very new in to it, but it help me alot...One thing that I am facing problem only, My sharepoint test list contain data in value field from (5000 to 25000) and power BI does not plot it correctly its talking value as Count of filed name...shows raging (0 to 1)...Can you explain how to plot on actual values..Thank you

Thanks Shane. Great job! I am setting up this evening. If I have a task list, can I set it up so the customer sees only their projects and progress status? I could have about 20-30 different customers at a time viewing the dashboard but only see their items?

Yes. I show that at the end of the video. You use the Power BI webpart on a modern page.

Okay, this is great stuff and i like your vids. But how well does Power BI work with SharePoint on-premise? I have a bunch of engineers who want to display SharePoint list data as Pareto charts, but have developed a hatred of Excel. Power BI looks like a great option for us, but we use SharePoint 2010 at the moment (converting to SP2016 by years end).
I haven't set up on the on-prem gateway yet but you can look at it more here. powerbi.microsoft.com/en-us/documentation/powerbi-gateway-onprem/ It is on my list of things to play with. Might be worth you trying out. My only hesitation is I am not sure if it works with 2010 or not. 2010 and 2016 are very similar so I think there is at least a chance. Sorry, I don't know much more right now.

Hi Daniel They will need a license to visualize it on SharePoint.

Great tutorial Shane!! I did run into one problem: two of the columns on my SP list are names pulled from our Active Directory. The data is presented in PowerBI as an ID instead of the Name that is displayed on the SP list. I can't figure it out :(
Can you maybe do a Lookup to get the real name?
@@ShanesCows The best I could do was have our IT download a copy of the table and then I linked that with the ID. They aren't sure how to give me access to the AD backend in SP and they won't give me access to the table in Outlook, but they said those IDs are unique to SP so there's no way to link tables :( For the time being, I've just changed the SP field to manual fill instead, but one fat finger could skew reports if I have two different spellings for the same person.

Hi, Ashok. That is my tenant URL. So for you, it might be company.sharepoint.com or something similar. Where do you go to access SharePoint today? That is the URL you want to use.

I would suggest to make it more specific, that is.. avoid trying to explain how you created the report. I would say, that is a topic for another video. This one for me was more about how to link a power BI report to a sharepoint site and how to schedule a refresh. Also important is to mention that you can refresh it manually to see date you just entered into the sharepoint list.

I think so. Are you having problems?
when I use the site collection URL in my connection then it does not retrieve the lists within the subsites. The only way I'm able to retrieve the list is when I enter the URL to the level of the subsite where it was created.

That is configured on the PBI side not Power Apps so it depends.
I don't see Embed Link for SharePoint (Preview) menu option under File menu. Am I missing anything? Please suggest.

Hi Shane, I got all the steps, but PowerBI does not have Publishing to Sharepoint as an option anymore. Not sure if that was removed, or how else I can do this. Thanks.
Jose - I think it is a licensing level. Personal Power BI doesn't let you publish.

Sounds like a security issue. 😔
You can go ( PowerBI -> File -> Options and setting -> Data source setting -> Editing permission ) try again to login with organizational account

I have a two column- comments and created by that contains text values
I want to filter only those comments who entered by some specific user that belong to AD group. (This group has SharePoint access permission as members) I am checking by their name manually but I want some solution to filter the name only if user name is belong to that group.
So that if new user come
it should check automatically.

I have not had that error. My first guess is it is having issues communicating with your on-prem data?

Hi Shane. Good morning. I followed your instruction and am trying to Get Data from a Sharepoint List thru URL site magsaysay.sharepoint.com. However, upon clicking OK button I would get an 'Unable to connect' message, access to the resource is forbidden.
Could it be just an access right thing? I tried using the direct link for my Sharepoint list but to no avail. Appreciate your thoughts please. Thank you in advance.
