Export Power Apps data to Excel in CSV format

- In this video, you will learn how to export Power Apps data to Excel thanks to the JSON function which allows us to send Collections, Tables and Gallery data to Power Automate flow. The flow will build the CSV file and send a response back to PowerApps with the exported excel spreadsheet file link. The excel file will be available to download in Power Apps. Best part is the flow is reusable and can be connected to any Power App and can export tabular data.

Hard to imagine it could be better. Now I really can’t wait! I’m sure I’m not the only person who runs into folks at the company who are much more comfortable with spreadsheets and thus are a little reticent about converting certain processes to PowerApps. This solution gives us the best of both worlds so everyone can be happy 😃 I’m glad you shared the filter options because one of my use cases is exporting a list of raffle winners from my raffle app to Excel so we can send a report to Payroll. We used to have to manually type up a report so this will be an awesome timesaver. Thanks again Reza.

I have a question. When I create a collection, the columns are placed in alphabetical sequence (in the CSV file, the same). Is there a way to choose the column sequence I want?

alphabetical sequence is an in-built behavior of the Create CSV table action.
In advanced options for create csv table action, you can define custom columns and list out the header and values. Those will be ordered. Its more work.

Thanks for the video, Reza! It was exactly what I needed. One question though: As of September 25th, Microsoft has retired the 'Direct' link option for creating a share link because instead of creating a long-lasting share link it would download the file instead... Unfortunately, downloading the file is the behavior I want and now I seem relegated to just opening the file in the browser, which for my situation is not ideal since you can't edit the Excel doc in the browser even w/ a link type of 'Edit'. Do you have any alternative methods to actually download the file rather than open it in the browser, apart from browser-level settings? Figured I'd ask it here rather than the Power Apps forums in case it helped others watching the video who noticed the different behavior. Thanks in advance!
Try creating file in SharePoint library (with everyone having access to it).
Then provide the link to file back to Power Apps.
Did you manage to figure smth out? I have the same issue, as since the file doesn't get downloaded anymore all the data appears in 1 column...

@@RezaDorrani Hi, I tried providing the sharepoint link to the file in powerapps but I still can only open in a new browser.
The Link Types in "Create sharing link to a file or folder" are only "View Only" and "View and edit". Or am I doing something wrong

While using the "Create Share Link" of Onedrive, I am not finding the Direct in "Link type" drop-down, the ms community says it's been deprivated in. Sep 2021. View or Edit option doesn't download the file directly. It opens an excel sheet online for viewing

Man! I have been trying to do a better way to export data from powerapps. I try excel connector, sending email report. This is be far the best solution that I ever seen. Reza you are a legend!! So many thanks

After export column's sequence will change automatically, can you please look into this and suggest any solution
@@rahulkumar-px7rk Many have commented on this. The sequential part is the default behavior. You will have to add a Select action and manually select fields in order you need.

Good Morning. First off THANK YOU SO MUCH for all your time you spend teaching us. These videos are instrumental in development and are a blessing. I have a question concerning custom options in advanced section of the create csv table. I have sorted my columns, however it is creating an individual file for each row in the flow due to the apply to each. I am not sure how to get past this. The columns get sorted correctly however the data is in multiple files and not just one. Any help or direction you might be able to give would be very helpful! Thank you again so much!

Thank you Reza. This video came in handy today, I also leverage the new power automate pane feature so I did not have to reconnect my flow when I made a change. However, I did not see "direct" option, I only saw view and edit option in the link type under the create share link action in power automate

The direct link option type has been deprecated since.
You will need to store file in a data source eg. SharePoint and then get its link.

For xlsx, you would need to create an excel file, add table to it and then start adding rows in the table. It's a longer route.
CSV is also a type of an excel file.
Awesome as always Reza. Question: Any way to apply specific formatting to excel on export. We want to have a certain order like others have mentioned, but also want to be able to automate the column width and row heights based on the data coming through so the users do not have to format the data once it is exported. Any advice or guidance on this?
I don't believe formatting is an option.
You may want to look at Office Scripts for that.

Since my data source is SharePoint, it would be a challenge to share the list. The video is a step-by-step tutorial. I would recommend to try it out and if you have any issues, I am here to help and guide.
Very helpful tutorial, but it would be great if you can share how to work with Create CSV Table custom Column option.
Custom columns is to select the columns you need from the array object passed to the create csv table action.

Hello reza , it’s appreciated what ur doing with sharing ur knowledge with us and the efforts u put , kindly can u clarify how we can re arrange the columns when we create csv,I have tried the parse then select , but my columns sometimes having a value and sometimes not and if I defined the schema it will fail if there is discrepancies in the value , do u know any way around it ? Very much appreciated
In advanced options for create csv table action, you can define custom columns and list out the header and values. Those will be ordered. I believe you need to use the expressions syntax there. Something like item()?['Column internal name']

If you have a column that stores photo link then Yes.

Thank you for the wonderful lesson, I am new to this powerapps things and learning lot from your videos. I have one question when I exporting a collection using your flow all text field giving correct result but for choices columns getting {value : "abc"} in csv, how to eliminate that?
Because thats how choice columns are rendered. You would need to either shape the data in power apps and send to flow or write expressions in flow.
I have also shown another technique for export scenario which may help.
