      Thanks for the video. I saw another video of yours with Taylor Jackson where you were shooting headshots with a 70-200. What focal range do you usually use for headshots? 85, 100, 135? Thanks.

      I would love to hear about how you follow up after being denied the bid. Are there any questions you would ask to understand why/find out if you've bid way too high?

      @@sydfuller6610 that all depends on if the contact is responsive. If they are communicating with us to let us know they went another way, we send them resources to help make the shoot go more smoothly. Like a blog article directed toward attendees on how to make sure they get great headshots at a convention. Just be polite, helpful, and mark down the date of contact or the event they asked you to bid on and follow up with them when it starts to get near the same time next year.

    Great video, Gary! Those of us with a longer than RUclips attention might ask if (as shown in your quote) you are simply giving the client / company the images with your day rate, "here's your pictures, have a nice day!" or in your contract with the company are you licensing the images with limited usage restrictions? Renewal option?
    Example; Bill from accounting gets new headshot while working at Mega Corp, LLC. A few months later, Bill leaves Mega Corp, LLC and goes to Other Mega Corp, LLC...and now uses that headshot you took for Mega Corp, LLC on his LinkedIn, Facebook, Other Mega Corp's website, etc. Do you chalk that up to "oh well, not a big deal" or would you attempt to enforce "hey, that picture was taken for the exclusive use at Mega Corp, LLC"?

      Typically they get a limited usage license in perpetuity. But that all depends on how you want to play it. Shooting 7k headshots a year means I don’t really have the bandwidth to police all those licensing agreements. Hope that helps!

    Excellent vid, as usual. I'm curious about the "click to view the live quote and adjustment it..? Are you using something like a WPforms interactive form for the quote?

      I was waiting for this question! Most CRMs can do something like this, I use 17 Hats. You can make things in the quote optional so that clients can adjust them.

      You can find a bunch of WP Forms over an Envato that can do calculations as well. I use one on my website.

    Thanks Gary. Always informative. I would add spelling out "BTS" in the letters to prospective clients. If you have some 20-something marketing phenom you are working with, they are likely to think about the boy band from Korea :) Happy New Year.

    Great info! I use quickbooks for sending the quote. Which software are you using that allows them to a add on the extras like hair and make up or retouching.

      We use 17 Hats for our CRM and it does all the things :)

      Yes it can do that too. If it’s a very large group of people and we need multiple people per time slot, we use Acuity. I have it on good authority that 17H is going to add that feature soon though.

      @@GaryHughesOfficial I think you have to be exclusive with them. They won’t source out because they shoot every day on multiple sets. But it’s a great idea to target lingerie brands 😊

      We take a 50% deposit and the balance is due before the shoot. We do not do net terms, never have any push back on it

    Questions; Do you ask for an advance up front upon their acceptance and do you send them an itemized estimate in the form of a PDF?

      We require a deposit to hold the date (50%) with the balance due before the day of the shoot.

    How long per person do you allocate when you give an 8 hour day? Or how many people can you do in a time frame. I just did my first two corporate headshot sessions in October and allocated 10 min on average per person. Assuming a one-man show.
    Do you have a greeter that preps people and handles some of the admin stuff? I'm interested in how to get a workflow that I can get their contact info into a system and then have tether capture push each of the shots to their personalized cloud-shared folder from my laptop. A lot of the admin stuff I had in these two jobs was a lot of overhead and a lot of retouching work after. I'm thinking about how I'd change things up next time.
    I also was giving people the 45MP shots from my R5 and am wondering what resolution to actually deliver. I'm thinking of capturing RAW and small size jpg next time and letting them cull from the small, then delivering maybe a 20MP retouched shot. I was giving the 45MP because it was already there.

      Well that’s a LOT of questions, lol. If you check out my website there is a lot on there for you that would help. Hughesfioretti.com - all my pricing and faqs with answers to some of those questions. Typically on a big job each person is in front of the camera for 90 seconds or so. On smaller jobs maybe 5 minutes. Everybody shoots a little differently though. Definitely check out Evoto for retouching and Headshot Tools for organization and delivery. Game changers

    I have never had en enquiry like that, I wish i had. Its finding and accessing the company contacts at these companies is the problem. Doing the work and responding is the easy bit.. Its finding and getting the work in London that the issue.

      In my experience, most work like this comes from search engines. Working to make sure you are well placed is key. That includes having a page dedicated to event headshots that speaks to the client motivation. If you look in the description, you will see a link to my site to see what I mean. Once you have a great page for event headshots, it’s just a matter of driving traffic there. To do that we pay for Google ads specifically targeting event headshots. Hope that helps and good luck!
