  • I get asked this question a lot: How do you do recurring tasks in Notion?
    Notion doesn't have built-in recurring dates, but that doesn't mean you can't make an easy to manage system.
    This is how I've been handling recurring tasks + reminders.
    This is just what has been working for me - feel free to take what works, and leave what doesn't!

    03:04 That's so cumbersome... That's why we need an API to be able to automate those stuff easily.

    Great video as always. The lack of support for recurring tasks is what has kept me on Todoist for task management. I’ve made several attempts to go all in with Notion for everything and would always outsource tasks back to Todoist. Recently, I figured out how to automate recurring tasks in Notion using complex formulas. It’s worked very well, so much so that I was finally able to let go of Todoist. I’m now able to set a recurrence schedule of daily, weekly, monthly; I can even skip weekends. Thanks for all of your videos, as they inspire me and help jumpstart my creativity.

    Loved your vid. Even though it is based on recurring tasks I got a lot out of seeing your "actions" database. I like the GTD method & can see how this is similar to Next Actions & its components. Part of your course & been trying to figure out how to pull tasks in. Thanks for the vid

    Ah a new video!!! It is interesting that your system is very similar to August, you both put a recurring tag on a task in your tasks database. You mentioned your calendar when planning. Do you use that calendar view often?

      I almost never use a calendar view, except for my editorial calendar process :D

    Thanks for the video Marie! it's always so nice to take a look at your workspace. Would have loved to see how the part of your journal template would connect to these like you were speaking about, maybe in a little more accessible visual way for those of us who are still catching up with your magic, any chance you can show us/tell us in a bit more detail how that would work? I've been struggling in general with the journal templates, I wanna implement yours (from the plan your year vid) cause they're so useful but I don't know how to go about it without losing my prior data from my own journaling db, any take on that as well? thank you always!!!

      I go into way more detail in my course + templates.... just checking - did you watch the journal video and weekly agenda video? I should probably record an update of how i'm doing that now... :)

      @@MariePoulin Yeah but with loom you don't always know what you're gonna get, and really it is a small orb. The point is notion, so I didn't spend that much time looking at you .lol although you're excited and moving, which resonates with your personality I presume, so I did probably look down there more often than I normally might :) #feedback for life

    Thanks for the Video Marie, really inspired. I am wondering how do you track the recurring tasks in case you did not use it in a week. For instance, Tasks normally are tracked by done date or by assigning them to Daily Journal. But it seems it is not possible to track the recurring tasks since you change its date when you done

    I'm a great fan of your work! I was wondering, do you use a dedicated calendar app like google agenda or all of your organization is done inside of Notion? Thanks!

      Joice Neves I do still use a calendar app for all my time sensitive appointments and such. I also match up my tasks energy wise with pre scheduled blocks in my calendar :)

    Thanks for this Marie. Really useful. I always love to see how you manage tasks and indeed your whole notion set up. I think a lot of people who are drawn to notion have a similar way of thinking so these boards are really useful for all of us to set up and then tweak as we find our own Notion path. One question though, do you have time set-aside over the weekends to sit at your desk and go through your notion boards and journals over Saturday and Sunday? Or do you use notion as an app, a little more on the hoof so to speak? I ask as I am just curious how people manage tracking weekend activities while also having time away from their weekday desk so to speak? I hope that makes some sense? I guess I’m asking from the point of view of being self-employed and working from home and trying to separate downtime from work time?

      Great question. Filling out my journal only takes a few minutes every day, so i certainly don't mind spending a few minutes at the end of the day to add in what happened that day :)

    This may seem like a silly question but how do you get your H2's to sit to the left of your in-line views? I've been trying for an hour and can't get it to snap into that position :)

    How can I sync my task database with my calendar database. So that whenever I add a new task with a date/period it automatically adds also in the calendar?

    Thanks for the video! I just want to ask how you were able to hide the properties for each task. 'Cause in mine all the tags show up below the name of the task and it takes up too much space. :( Thanks again!

      You can hide anything you want under the properties. Click on the dots in the top right hand side and go to properties. hide any you don't want to see!

    I do have another question and I hope you can help me with this. I’m interested in selling my Notion templates, but I don’t know how to do this. I already reached out to the Notion helpdesk and the told me that platforms I can use are Buy me a Coffee op Gumbold, but they did not answer my question about how to share the templates with the customers after they purchased it. Do they get access to the link of the template (which means that you have to share the template link by putting it in public) or do I need to provide them with a file which they can import into their Notion? I hope you can help me with this as you have experience with selling templates on (I believe) both platforms.

      Claudia 1980 you have to make the page public and available to duplicate, and share that link as the redirect link when they pay

    How to add two boards in a single workspace?

    I see that you have Reoccurring as a Tags? I thought you were using the Tag Database these days. Did you move away from that?

      The master tag database is to connect information across many databases. I still use the multi-select Tag property for easy filtering and creating board views. You can't do board views with a relational database.

      @@MariePoulin Totally makes sense. I'll have to evaluate that a bit in my own workflow. I appreciate all the work you've done, and my wife is loving the Gardening Dashboard. We just have to tweak it a bit more, and adapting it to our own region. We found that a lot of websites contradict each other with seeding vs planting times. Gardening is hard! haha

    Great video Marie, short and still very helpful. I have taken on time blocking a few months ago and find it works for me. I too have separated my daily work *dashboard* from my planning page,.,...as I was spending too much time adjusting things with weekly task management and not focusing on the current day. I'd recommend anyone to keep these areas separate. 👍

      The company name is Gumroad and they take care of delivering the goods to your clients with a unique download link. You do not have to worry about any of that. There are several videos online that teach you this that is probably why the Notion team didn't need to go through the process with you. Here is a video from Gumroad that shows you the process from beginning to end in less than 3 minutes. ruclips.net/video/8iCLYxZQ3f0/видео.html.     Thanks for your awesome videos!
    I'm a teacher who is just discovering Notion
    Have you got any templates, or can you point me to one, for attendance?
    Typically attendance has the dates across the top and students names down the left column...
    I've set one up where I click the names in a relation to a date down the left... But this is problematic because I need to remember every students name that's in each class... To compound it further notion seems to display the names in the relation randomly and not by alpha..

      Finally understood. If you use mouse you see this ugly bar but without mouse and with the touch pad of the Mac you don’t see it. Notion detects it...

      @@clementtavernier2748 It also depends on your screen size and how many properties you have in your database. When I plug my laptop into a monitor I don't have any scroll bars unless the database has a significant number of properties showing (you can hide ones you don't need to fix this though). When I'm using laptop's built in screen I get scroll bars since the database is wider than the screen. Hope this helps!

    what options do you have in the 'days' select section?
    Because I see above there are the whole week from mon-sun
    but below I see you have also today/tomorrow/next.
    so what I'm asking is - do you have all those options in 'days' ? it kind of doesn't make sense for me in my head.
    and if you do - how do you choose what to set? (Monday vs Tomorrow)

      Yes, I do have all those options, which allows me to see recurring tasks by day, but still have other views of my tasks elsewhere, like today, tomorrow, next, etc (while hiding the mon, tue, wed properties. They are all part of the DAY property.

    When you change data in one board area, and the other boards on your page also change, does that happen automatically or have you to put in some sort of filter for that to happen ?

      The filters are what show/hide different information, so dragging something from one area to another can remove previously applied properties and will apply new properties. Anything you add to a current view inherits the properties of that view.

    How in the heck did you get the "Actions" linked database next to, and inline, with "Today"???

      Make two empty columns (drag an empty block all the way to the right-hand side of another block), then drag your database into the second column. Resize columns as desired :)
