Two weeks ago, I scanned in copies of everything to a thumb drive. Then took all the hard copies and organized them in a binder. I put all the account info on the hard copies. Like account numbers etc. Took about six hours. So glad it's done.
That's what I call organised, well done.
One thing I would add... practice a "bug out" scenario (like a fire drill)... go to a park or camping for a day or a few to see just how prepared you are... Great video Leisa thank you! Blessings Kiddo!🌿💚🙏💕👵❄️
Thank you for the great suggestion! It's important to practice what you preach.
I have had to evacuate 4 or 5 times because of fires, all my papers, pictures, and all my pew pews are all in one spot. My pictures are all in suitcases and have been in there for over 25 years. You have brought up some things I need to work on, Thank you for teaching us about what we might need during a evacuation situation. This could also be used in a death situation. It will happen some day to all of us.
Yes. In a fireproof, flood proof portable safe that fits in my rolling luggage.
Been packed since before Thanksgiving. 😂
This is so important. A few months ago, suddenly having to round up paperwork as a POA was a reall blast. When someone's filing system is, "here's a spot in a drawer," and you dont even know what accounts the person had, you get constantly blindsided. Its getting there, though. Family Dollar, ring binders and folders with labels have kept it organized.
this was motivating to read. just completed all the estate planning/ POA est stuff and contacted my person to meet soon. I did this to give myself a deadline to get my ducks in a row. working to keep it simple and easy as I can for them. working on the 'decluttering' and 'minimalizing' for a few years now and getting close to 'done for now" (its ongoing imo). what amazes me - the money it takes to enter this world and to leave this world is ridiculous. kudos to you for taking this on - it was very hard for me to find someone who would agree to do it - not step kids, not nieces or nephews until this niece agreed - she and a great niece (as contingent), her daughter, have been very gracious. everything will go to them, everyone has had the chance to take or claim - I told them I'll be dead so, it doesn't matter to me - do as you wish but my suggestion is to get someone to come in and haul it all away and cash in all you can and be done with it!
Thank you for sharing this . We have had to evacuate 2 times in 5 years . Thank goodness we do all the this you talked about . There is enough stress in life . Stay organized and prepared is truly a lifestyle.
I’m so sorry to hear about your evacuations, but glad you are ready for the next one!
I have worked with several agencies who take care of the developmentally disabilities in the past. Their idea of keeping the residents of their facilities medical paperwork safe is rolled up in a empty paper towel tube. Yes a paper towel tube, and that was stored on top of the fire alarm control panel. As a retired volunteer firefighter I was angry. How could they be so indifferent and nonchalant about the whole thing? In the Northeast we have rain storms and snow storms. How will these documents stay clean and dry if the house parent falls down in a rain puddle or slushy snow? I made a document holder out of PVC pipe and end caps. One cap was glued to the pipe and the other end was left unglued, so you could retrieve the documents easily. I put it together, sprayed it with orange paint, added a wrist loop, and some reflective tape. Easily seen on the ground during a snowstorm or rain storm. Submitted it with a written statement and all I got out of the whole thing was a slip of paper that said good job and that was a coupon for a small ice cream cone from the store 2 doors down. It was worth 25 cents. Bureaucrats!! To top it off, they never did anything with it.
I downsized my photos and paperwork so that it's all down to 3 easily carried file boxes that are easy access. Learned my lesson after first fire evacuation that we weren't ready for!
So sorry to hear about your fire, but glad you are prepared now!
Pet Vax and micro chip records are extremely important. We have a fire box inside of our fire safe and safe deposit boxes off site.
This is a great subject Leisa. We lived in ETX in 2011 when there were wildfires all across the state. I worked from home for a large insurance company and one thing we would counsel customers on…..if you had 20 mins to get out of your home, what would you take? A great thing to add to a thumb drive besides documents, take pictures of everything…..clothes, furniture and electronics, collectibles, etc. If there were a fire, you cannot remember everything you have. This is very important for insurance purposes.
❤Thank You Ms Leisa for the instruction, suggestions and reminders! 👍😁
I made a " domesday " binder wills, titles etc just like you suggested. Includended portraits suitable for funeral.
We put all our papers into sealed bags not vacuumed but heat sealed, these are in a binder in a grab bag, if we cannot grab it it's in a heat and water proof safe.
Thank-you Leisa for keeping us on our toes.
Great reminder video. Made me think of when my Mom & I set up a small portable tote box with all her important info. When my sister called & told me Mom had passed at the hospital, I grabbed this box & went. My sister and I used the paperwork to start making calls. To cease her Social Security benefits, we had their phone number and Mom’s SS# right there. We had the names AND PHONE NUMBERS of her friends & relatives right there. Another thing for preparedness: pre-arrange and pre-pay for your funeral. That’s my goal for this year. I know no one wants to think of it, but it was a huge blessing that my parents gave my sister and I. One call to the funeral home, and they took care of everything. Yes, it’s a lot to do, but all of this will make your life & the life of your family SO much easier down the road. Last point: I have a rolling cart that I’m going to practice packing with my portable records box + to-go bag and family pics off the walls, so I can do it quickly and efficiently to get it all to the car (or drag with me) in case of an emergency. Thanks again Leisa!! ❤️🌹
So... A backup for a backup for backup. Good show Lisa
I purchased 3 books, one for us ( husband and I), and two others as gifts. Love the contents everything extremely organized, I thank you for your hard work developing all this information.
Your book is incredibly thorough! You didn't miss a thing that I could see. What a labor of love. Thank you for all your hard work🥰
Leisa, glad to finally get to spell your name correctly. When I was a trainer for State gov't I handed out page protectors to my classes to keep their notes in. We had breaks for people to copy down charts I drew on white boards, showed on projectors, etc and when I ran into some of those folks years later, they expressed how glad they were that I had insisted they keep records they could look back at when they went back to their offices and had to access and use the integrated accounting system. btw, also appreciated the cameo appearances by your beautiful black & white cat!
That’s great to hear about the page protectors!
This has been on my hubby's To Do List since we moved last 7 years ago. My Dad left a list of contacts, his service number, pension details etc near his computer and made sure I knew where it was. It was so helpful when he passed and made the process of tying up ends less stressful whilst we grieved.
I'm glad your dad was so thoughtful and prepared. It makes a huge difference!
Great tips! Thank you!
This is a great reminder! I’m going to remind all my adult kids to do this!
Very helpful, thanks!
Great reminder and tips. I have a copies of most of this being prepared for hurricanes and traveling. I need to gather all the rest. Thanks.
Very good information , some stuff I didn't think of , THANK YOU LEISA
Glad it was helpful!
We got a binder off Amazon it has envelopes inside and labeled for legal papers insurance info registrations titles for home/cars it keeps everything neat and easy to find
This is all very good information. Thank you. Also, if you don't have a safety deposit box or fireproof safe, you can store some things in your refrigerator or freezer. Just be sure to put them in Ziploc bags that you seal. Then put them in one large Ziploc and seal that, too. That way they are all together to be grabbed if necessary. I have done that with original copies of certain things. Having copies in a binder and on a digital storage device is an excellent idea. (I did learn the hard way to put them in Ziploc bags...Our freezer went out during a storm. Every document was waterlogged. I was able to recover them, pry them apart and dry them out, but if I had done the plastic protection that wouldn't have happened.)
Thank you, Leisa. I have got to get that book!
great video.....
Great video. Need to work on this.
Great things, Leisa!! Thanks
Thanks for reminding me, I have some updating to do on that front, so much has changed since the last time I put this together. I thought of it when the fires happened and all the information lost for those poor people. Interesting a famous movie star evacuating for the fires actually had a bug out bag, sad part was it was like 20 years old. Good heavens Leisa it’s 83 degrees in your house you getting primed for your trip.
Thank you. Great information.
I'm glad you found it helpful.
I had not heard about a grab and go bag until you mentioned it recently. Something I will be working on! Thank you for the info!
You’re welcome! Glad the video was helpful.
Also called a bug out bag. There is also a get home bag.
Very important topic! I need to get busy
Another good place to put everything is in a plastic file box but make sure it’s not clear cuz you don’t want anyone knowing what’s inside when you have to evacuate. Mine came in handy last summer when we had to evacuate for Hurricane Francine. I just threw everything in mine and left, much easier to carry then a binder. I’ve done binders in the past and they always seemed cumbersome.
Great reminders
This was great. I have some docs in a fireproof safe but not everything. I love projects!
Very good advice.
So much great info thank you very much
Thank you from Kenai,AK. I am also now following you on FB. Blessings
I am glad you found the video helpful!
Thank you. I also keep a briefcase above the safe so we can grab and go from the safe.
That is a great idea! I will have to try that!
Thank you for all of the information
You bet!
Great tips! We do have a grab and go set up for when heading to the storm shelter…just in case! 😊👍❤️
Great information for preparedness, thank you!
Auto & trailer titles VIP as well
Absolutely!
Just fyi. Storing your photos on an external hard drive and a cloud storage is a good practice. For physical prints there are various ways you can scan them. Also there are individual people and big companies that offer that service. You will pay less if you go with a person instead of a big company. There are people everywhere that offer this. I do scanning for people myself as a side business.
Thanks for sharing your expertise, I appreciate it.
Yes! I lost all of my photos 25 years ago in a house fire. Lost all my kids young life photos.
I'm going to get your book it's taken me a while to realise it might actually help me.
What book?
@variyasalo2581 it's 100 days to preparedness, by leisa Sutton.
I have a binder with my personal papers and documents in a fireproof bag in an easily accessible place if I need to leave quickly. I am in the process of putting funeral arrangements in my binder.
Great info and I admit we haven't done that fully. We do have a firebox, but not everything is in it. I need to get that done. I'm sending this video to my husband so I can easily reference back
It is never too late to get organized and protected!
The book is really good
I recently bought the book. It's good!
I am glad you enjoyed it!
I keep all this stuff in a computer bag…grab and go! I review my important papers every 6 months.
After being called in to IRS for audits the examiner said; personal keep 7 years.
For your business keep 10 years.
These are the number of years they can go back and ask you to prove your claims. Otherwise you could end up owing thousands of dollars. Even if you have received a refund check already. They can still call you in for your explanation and proofs.
I don't trust banks, so I took a piece of pcv pipe and 2 caps, silicone the caps, and buried all of my copies in my yard and marked it with some statuary. My son and grandson also have copies.
My important docs are copied onto two thumb drives. Family in a different city has the second one. My thumb drive is in my grab n go bag.
I got gas in the morning to go from San Antonio to Austin. When I got back home the gas had gone up 20 cents a gallon!
Hold on let me get my NoteBook! 📓 I’m almost halfway through. I’m going back and writing all these down. Going to make copies of all these documents to have in one place. I have a binder for each family member with the bulk of birth certificates, social, etc. in there. It would be nice to have a back up of copies of all these in a different binder.
I am glad you are finding the information useful!
Anyone else notice cocoa jumped from $3 to $5 at walmart in the last couple of days?? Load up now! Lasts forever!
There has been crop losses for the past 2 years.
An add, in you emergency bag , physical current copies of prescriptions required to survival (insulin, heart meds etc....)
As always,Great Tips & Information Liesa!❤ Thanks,so much! ❤🕊️ Lord's Blessings All From the Foothills of the Olympics WA 🏔️🏔️☃️❄️🌲🍀💕
I have a wicker box, that contains everything essential. Will, death wishes, divorce papers, birth certificate, car/vehical information, insurance, stocks holding... etc. Each category is in plastic encased files, water proof inside. Next stop is to create 2nd copies of it all, just in case.
Anyone that does family Genealogy work be sure to back that up as well. I lost all of that in a house fire back when things weren't as digital and I can't replace some of the documents -- they've been since lost in archived fires.
Thanks for sharing today. I already digitalized my important papers into 📀 DVD, zip disks, 💿 CD, tooago, now organized, locked 🔒 away here. I prepared early for hiccups in the road of life...........from the Ozarks, childfree
You are truly ready for anything!
@@SuttonsDaze yes I did this back in 2007, using the scanner at the university and on to Walmart for completing the project....stay safe everyone
The see through sleeves are called document protectors
I have a rolling suitcase packed and ready to go due to living on the gulf coast and hurricane evacs every year. Twice last september/October. I have a fireproof folio with all my important papers and it sits on the floor in the closet with the suitcase. Been to shelters way too many times.
I live in Finland and this is so interesting to hear. I've never had a birth certificate. I've given birth to three kids and none of them were given a birth certificate. Been married, no marriage certificate. 🤔 We don't get printed bank statements any more. Everything is digital. If databases disappear, I don't think that's my problem. Would be kind of interesting though. If the fan/internet/world collapses, I don't think that not having something in paper would be a problem any more. Kids are grown up and the marriage is gone, so... I have my kids' contact info printed in my bug out bag, that's all.
I did this during the firestorms last month. It took me an hour to find my Social Security card. Apparently I hide things. Most of these documents can be replaced (pack a manual copy of your PASSWORDS!), and FEMA had stations to help those affected, but there was also identity theft discovered in the process for a few people. Not something you want to deal with in an emergency.
I have extra fridges. What do you think about putting binder in plastic and storing in there? Would that be fire proof? Thank you, great advice.
Not sure if its fire proof. I would be more concerned about moisture
I am not ready for grabbing important documents and going. I have them digitized on a computer but not a thumb drive.
💙💙💙
If and when you retire, you have to verify your marriage and divorce papers. You don’t want your ex to receive your money and your current spouse to get nothing. This is especially true for pensions.
For bank accounts, fill out Pay-On-Death (whatever it’s called in your area) so that beneficiaries can have the money directly thus avoiding taxes. You’re avoiding legal costs needed to get that money, too.
Without beneficiaries, especially if you’re not married to your main squeeze, any relative will have more ‘right’ to the money than you. That applies to homes, businesses, etc.
A will is the best thing for inheritance. It trumps everything else. Even a list of how you want the money to be distributed is considered legal if signed and dated; witnessed is best.
Other institutions can protect your assets when you’re not able to verify things. But you have to prepare them, too.
That’s really important advice for everyone!
One thing I would add... all resumes, certificates of accomplishments, diplomas, transcripts or degrees earned. You may need to apply for a job if you
Good ideas. Maybe a phase 2 project for me. I am so trying to just hang on until I can retire (been here since 1988).
I should be able to replace these types of things is I had to.
But, as I am working on the other list, I will start a new file for these.
Leisa, I have a notebook for all of my passwords that I keep in my go bag.
I am extremely unorganized not going to lie. 😢
Yes I am ready for grab and go. As for my adult children - not so much. Ugh , kids . List of all medications your on and what they are for .
O oh I've been working on mine...
I’m glad you are thinking about this important topic!
🎉
I had a total house fire. The fire safe won't make it as you said.
All my important papers are in one file. Just one of each utility. Just need account numbers. I have about 15 years of taxes I can declutter. File cabinets are stuffed. Time to clean out again. Stuff that is very old and not applicable for the future. Good reminder to do that. I have a 100 pound safe. About 16x6x6 inches. I can't lift it now. Gotta be pretty fireproof. Very thick sides.
It is so satisfying to declutter and get organized!
@SuttonsDaze 13 gallon garbage bag filled. Do things before I forget.
I don't see the listing for the book, how is it named?

Safe deposit box...what if the fire burns your house down AND the bank as well? Like the paradise fire...
Sounds ghoulish but a lock of hair sealed in an envelope was a helpful way to ID people lost in the 9 11 incident. For years, my husband & I carry copy of each other’s id, a photo and a lock of each other’s hair in our go bags, in case we get separated.
I’ve never thought of that, but it’s a great idea!
I've been working on this
It's a lot of work. My emergency contact has a duplicate. I had a medical emergency in 2023, and no one had my info.
Hubby has scanned tons of documents they are stored in a drive & our Sons have copies, they do need to know the password 🙃
I am glad you are proactive in your preparedness!
@ after living in the mountains of CO you eathier learn about how to live there or you move :) fires happen everywhere

Such a very useful video. Especially with all of these natural disasters occuring across the country. People, please do not purchase a "sports" car! Purchase a 4 wheel drive, extra wide, extra long bed RAM truck! Invest in/attach a RV too! Throw extra large duffle bags in the back and get the...out of there if the authorities should so advise!
