Okay, I have to go off on a rant for a second. I’ve seriously been in the planner community for 10 years and I’ve been WAITING for a RUclipsr like you to come into the picture. You help me get down to brass tacks and build better habits. Your videos have helped me free up so much brain space and see things in a way that is slowly helping me grow as a person.
Even as a retired person I still need these "productivity tools", not so much for productivity as for keeping track of appointments, events, information, self care, finances, meal planning, nutritional education, book studies, and record keeping. My mind works best in categories, so I have one binder just for Financial statements and records. One notebook is just for Morning Pages. One agenda is just for self care, so I can record things like medical appointments, weight, BMI, blood pressure, pulse, hours slept, activity, pleasure trips, social interaction, electrolytes,, etc. I have one main calendar to capture appointments, and one main journal for gratitude. That helps my brain keep things sorted out and in place. I'm a very functional planner, but I like pretty tools.
Omg same here I knew I wasn’t the only one! And I have them strategically placed in my home, car & Bag! So I have a set flow no matter if I’m following a routine I always capture! What I’m still stuck on is trying to integrate that info onto my phone! Wow I honestly thought I was the only one that struggled with Notion(I had so many effing templates/brains/systems Ever since I’ve detached/limited usage from it to migrate back to writing (most successful method for me) I’ve struggled to get the digital brain back since weaning off of it to decrease that “dependency”. But that thanks for sharing cause I totally relate, I’m retiring soon (@29 from the Navy and I know I need that digital help soon now that my life is in a complete overhaul. If you don’t mind sharing what are some tips on to your new life shift? I’d appreciate any advice/guidance! ⭐️
My problem is that I am a "scrapper". I will write on anything I can find (paper, envelope, my phone, etc). I saw your brain dump page and realized THAT is what its purpose is. A notebook to avoid social media is a GREAT location for me to write my stories or ideas for stories. I'm trying to collect the stories from my life for my family to have when I am no longer here. Then, I need a place to manage projects and I have ideas for that, which I just need to explain to myself. Thank you so much for your videos.
Emailing yourself is a great capture method for me and I do it all the time. I've even set up a filter to divert all tasks to their own folder to make them easy to find. The reason it works for me is because I have a habit of checking my email but can never remember to open a to-do app.
I enjoyed your video which gave a lot of food for thought. I might add a fifth item to your list of areas, which would be document management for scanned items (letters, receipts, scanned documents etc).
Through this method, I have realized why the Hobonichi Weeks works so well for me and why I love it so much. It functions as a 4-in-1 system: 1. Capture (all new tasks go into the task dump in one of the notes pages in the back) 2. Task Manager (more urgent tasks in the task dump are moved into the weeklies when I am ready to do them) 3. Calendar (using the monthly calendars to add events and appointments as I hear about them, then moving them to the weeklies every week so I remember what needs to happen) 4. Notes (adding “collections” of notes in the back and adding index pages to find notes more easily) Thank you thank you thank you for helping me realize this! Now I know that I don’t need to buy any more planners because I already have everything I need.
I really appreciate your videos, and how you share your thought process when you decide to pivot. I can see how content creators can get caught in being “experts” and not sharing this part of the journey but suddenly they are in a new planner. Thank-you for all your content in 2023, looking forward to learning from you in 2024
thank you rachelle, you are the content i have been seeking out for for years to learn from, as someone who struggles from organization and planning bc of ADHD and C-PTSD
This video helped me sooo much, Rachelle! I was sttuggling with what to do for 2024, starting now, and was overwhelmed at all of the possibilities. Reviewing my current "garden" to see what was working (to cultivate) and what was not, or would duplicate an already working effort, or was just a distraction (weeds!!) was a HUGE change i ln perspective, mindset, and overall approach for me. Thank you, thank you, thank you. ❤
After much experimentation - I know my system works- and when it falls apart or I start trying to solve my chaos w a new tool, it’s a signal that I’m just plain overwhelmed and there’s too much going on. Great vid!
This video is what I need! I can’t seem to find a system that works but your video made it easy for me to cut down on too many tools and build better habit on being productive. Thanks so much for this content. I’m glad YT recommended your video! ❤
Thanks to watching your videos I’ve decided to purchase a hobonichi weeks! I’ve looked at my past bujo attempts and found that while I love weekly layouts, I don’t always have the energy to draw them out myself. So I believe having a weeks planner coupled with some fun pens and stickers will be the perfect balance of function and creativity for me. I can’t wait for when it arrives!! Now as for figuring out my digital productivity tools… that’ll take a while 😂
You're such a smart lady. I really enjoy watching your videos. It feels like the content you bring has so much substance... You can just tell you really think a lot about this stuff! (Doesn't mean fluffy videos aren't welcome! Who doesn't love a bit of fluff here and there?!)
I'm having a lot of fun catching up on your videos since I recently found your channel. This one sounds super useful for me right now! Just thinking about listing all my productivity tools... The number of notebooks, places for sticky notes, and different apps I've tried (Notion failed for me, rip). It's no wonder that I've been overwhelmed and unsure how to plan out my life with planner tools, since I've been using so many.
Going through this now before I set up my 2024 planners. I’m doing the work/personal systems separately. It’s discouraging how many systems are non-negotiable at work, and a lot of these are capture methods or different levels of task/project tracking. Plus there’s stuff that’s shared with the team/company and stuff that is for my eyes only. I think the best I can do is make sure all these capture methods (Outlook, Jira, bug trackers, Confluence, Teams, etc.) are migrated to a smaller set of task managers. Very helpful video, you have a lot of novel ideas!
I love this! My capture is Todoist, tasks is Asana and Todoist, Calendar is Outlook calendar and notes in Notes app. All of these are on my MacBook and my phone. I went paperless a few years ago and I have never looked back :D. Your video made me feel that I am definitely on the right path :)
I needed this video so much, I feel constant stress of feeling like I have too much going on and feeling like my life is so scattered and you made it so simple here! I need to reorganize and declutter! Thank you for this!
This has been super helpful! I am forever looking for a system that works for me and this really helps me break down the important elements and give them some thought. The system I have now is a good one for day to day but I need a notebook exclusively for brain dumps and ideas, one that isn’t part of my daily journaling/task management notebook. Thanks so much for the great video!
Unfortunately I have to keep separate productivity systems for work and non-work, due to the nature of the work. But this video made me realize how efficient my system at work is, and that I can look to reduce my capture points when I'm outside of work.
Yikes... I am guilty of using my email inbox as a to do list. It worked for me for a long time (I would only delete/archive an email once I had addressed it), but my inbox has over 500 emails in it now, so I'm thinking I need a new system. I love the idea of pulling from all these different places into one spot to look at.
Just stumbled onto your channel, and have to say thanks for putting together such great content. Quoting David Allen and showing simplified yet detailed examples.. wow! You have a new subscriber :)
Well, how useful was that! Absolutely amazing! Thanks so much for the walk-through on simplifying the use of the tools and paring down to what only is really needed. More time to get things done! Hooray!!!!
Thank you for this straightforward and informative video! It’s definitely eye opening to face your own planner clutter. Can you also possibly do a video on how to incorporate a partner into planning and organization? Would love to hear your take on managing a household or multiple people’s schedules/tasks 🙂
This!! I’ve personally found what works for my family (2 adults, 2 little kids) is that I manage the overall task organization and write the weekly “common” tasks on a whiteboard in the kitchen. That way my partner can pick off items when he has brain space and it fits our temperaments - me organizing and him a bit more free flowing without me harking on him haha. But I’m SUPER interested in seeing/hearing other planners/organisers’ strategies bc I feel like there’s a better way of doing it 😅
@@stationery-and-stories Love this! I kind of do something similar and have a joint iPhone Reminders list so I can write out the tasks and HOPE my husband checks things off. But it definitely relies on him remembering to look at it lol.. We’re currently trying out Morning Meetings to go over said to do list 😆
I am glad that I found this video. I was looking for a "productivity system" for 2024 and all of the "productivity-gurus" as randomly suggesting x,y,z apps. But when I saw your video, I was thinking like what am I even trying to achieve with the productivity apps.
Thanks so much for this video! Do you do much weekly/monthly/quarterly/yearly/other cadence (lol) review and planning? I assume the planning comes under tasks, but where should reviews live? I have a task and review app but it only lets you plan for today and tomorrow by design, so i use capacities to capture and store my longer term tasks.
Brilliant! Just did this. So important to do this at least once a year. So helpful to cut down on places for capture, task management, calender and notes is so important to not miss anything. Also, know what work for myself in terms of digital vs. paper is so important. :)
Nice! This helped me figure out what the actual purpose of my different notebooks and journals are. I used a lot of them for note taking but now I've limited it to a couple different ones for specific types of notes, like short notes, long notes, stream of consciousness journaling and law of attraction type stuff. That focus makes it much easier
I know I’m late to the party but I LOVED this and thank you. My toxic trait is collecting productivity tools. Can I ask what brand your pocket notebook is? I love the idea of journaling instead of playing on my phone!
I find your videos interesting, I’m still trying to find a system that truly works for me. I run a business, a farm that we need for the business (think harvesting fruit, pruning trees, and the like) and I have calendars, diaries planners for each (and all) I really struggle with having one capture point for all of the things eg I may remember a business task at home at night, or remember I have to do something else away that I have to make an appointment for then scribble it on a sticky note and hope I don’t lose it. I am so scared I’ll forget things that I write them down in multiple places and multiple times 😂 I think the little pocketbook you carry might be the way for me to go to capture everything and then transfer or do when I’m at home (or work) thanks for all that you do.
This is super helpful and helped me realise that even though I love the note taking app/program Obsidian in concept, it's just too annoying to use for me in actuality, and I almost never reach for it. Plus I've managed to delete like 5 other apps. I'm interested to know if and where a diary kind of journal falls into this, for example, I do morning pages a few times a week, and to me it's like a brain dump that I use to capture my thoughts, plans and emotions, take notes on them and set myself tasks, then I go through after and take the tasks and whatnot and put them in my planner. So I'm not really sure what it is, or if it's just it's own thing.
I do morning pages as well! I categorized it under capture, since I often dump the things I need to do that day in my stream of consciousness. Then I’ll move those things after the morning pages to my task manager.
Love this! It's going to be super helpful when I try to adapt my 2023 shambles into something that works for 2024. This year, I learned to not have too many planners, so naturally I'm planning an extra one to my line-up. Ummm...? PS I regularly email myself reminders and tasks. 😆
I am a loving your videos. Have you tried the moleskine Pro Planner? I think it has the potential to become my one and done planner. I don’t see any reviews on it anywhere, just the regular Moleskine . This has vertical weekly with two pages extra per week. Thanks
would a standard weeks notes pages be enough for a master task list a month (maybe taking up more than one page)? i don’t really understand how many notes pages are in the standard weeks and i don’t know if i should go for a mega instead. thank you ☺️
This is random, but since you’re ahem non unrelated to why I’m such a planner snob, any recommendations for wall calendars from Team Rachelle? I need one to share dates with my partner.

I agree. I like watching plan with me's etc, but Rachelle adds in a layer of productivity help that just speaks to me!
I agree
You shoulda been in the productivity/hustle community for that. "Planner community" is mostly about buying planners and washi tape, I think 🙈🙈🙈🙈
I mentioned productivity or apps in a plannertube comments section and it was not well received. We need more channels like Rachelle. ❤
“Email is a list of priorities for you from others” changed my perspective so much.

Loved this video, thanks!
Very good! It’s so true!
Thank u.
You’re dope. Thanks for making this. I love you so much too
I am a loving your videos. Have you tried the moleskine Pro Planner? I think it has the potential to become my one and done planner. I don’t see any reviews on it anywhere, just the regular
Moleskine . This has vertical weekly with two pages extra per week. Thanks
would a standard weeks notes pages be enough for a master task list a month (maybe taking up more than one page)? i don’t really understand how many notes pages are in the standard weeks and i don’t know if i should go for a mega instead. thank you ☺️
Brilliant video!
Thank you🥰
This is random, but since you’re ahem non unrelated to why I’m such a planner snob, any recommendations for wall calendars from Team Rachelle? I need one to share dates with my partner.
5:59 task managers
Thank Rachelle I too decided to reset my productivity. I too clutter. Also thank you for introducing me to Cousin (Hon) which I finally got. I find this video really help a lot. Great day
Please do one of these videos for journals!
Productivity tools are my love language. 😂
I have an ADHD hyperfixation on planners but I figured out what works for me best; that is, I give myself two days per page in a "bullet journal" type notebook. No frills and colors and stickers. Just one central location for my schedule that I have synced with my calendar so no matter what, I know whats going on!
1:20 rotates computer monitor. :D
Woods good at organizing a video? You are❤
Do you know a Notes equivalent for the Android folks?
Keep
If you're just looking for an equivalent to the apple notes app, Samsung notes is basically identical. If you have a more recent Android, you can even set widgets on your home screen to have specific notes visible outside the app
I'm a bit jealous you're allowed to sync your private and work calendar. We can't do that and it's really annoying.
Wait- tarot?
Hi I love you, okay bye !
Love your videos, but you give me to much to think about. lol 😂
I'm embarrassed to say I have over 15 tools to sort through...
I love your videos but I'm kind of worried you're spreading yourself too thin with all these multiple tools. like, how much is enough? I just got my hobonichi so im kind of new. but is this the norm?
Exactly!
Absolutely not lol. You can do all these with 1 planner even
I personally have 1 electronic calendar as work requires it. But I cant take the work computer to personal appts. So thats only used bare min to keep work happy. I have a paper planner with calendar. And I use a stack of post its. I keep one master list of personal tasks during times where its alot. And crazy days will have a written list of plans. Not every day needs that.
This was so helpful! Thank you!
