UiPath Document Understanding - Invoice Data Extraction (Full Tutorial)

- This video tutorial shows how to use UiPath Document Understanding and machine learning to extract data from many invoices. The invoices can even be in different formats.
We will extract data (invoice number, date, total, etc.) from a folder of invoices to an Excel file in this use case. We will also talk about the Present Validation Station, where users can verify the results in an attended robot.

We have multiple invoices in different formats that we want to automatically extract data from. The game plan is to use the Document Understanding package in UiPath.
0:53 Install package
We install 3 packages: Document Understanding, IntelligentOCR, and Omnipage.
2:10 Load Taxonomy
In the Taxonomy Manager, we specify what data fields we want to extract and load afterward.
4:36 Read our invoice
We are using the Digitize Document to read the invoice into a format and can work within UiPath.
6:12 Specify the OCR Engine
In this use case, we use the OmniPage OCR.
6:28 Classify Document Scope
Here we must classify, that is, sort the input (here our invoices, but we could have documents of other types). A keyword-based classifier is used. Remember to create an empty JSON.
9:44 Data Extraction Scope
We use a machine learning extractor. It is shown how to set up the extractor.
12:58 Present Validation Station
For attended use, we can use a validation step, in where the user can validate the extracted data.
14:05 Export Extraction Results
The data will be written to Microsoft Excel.
17:43 Scale the solution
To improve the solution from one invoice to all invoices in a folder, we modify our solution.

Hi Anders ! Really nice video (once again), do you know if by any chance it is possible to output the classification result to Excel? How to achieve this? We have a use case with varying document types and want them seperated
Hey Max. Great to see you (once again) :D Yes for sure. The classification results are store in an array. Use a For Each, change the TypeArgument to ClassificationResult and make a write line. That will get you the results. If you want them added to a DT, you can use an assign instead of the write line. Finalize with a Write Range. I'll send you a LinkedIn message. Kind regards, Anders
First of all, your videos are greatly appreciated! I have a question in regards to invoices with varying charges. Is it possible to extract invoices to excel where there may be several different types of charges, and write each charge within the correct column if that charge exists? (i.e., different tax charges, fuel surcharges, additional items added to invoice, delivery charges, etc.)

Thanks very much, Andres for the detailed video. I have a question about a similar use case. How can I use the same process to train a completely different document and extract fields from it? I tried to look up other public endpoints but couldn't figure it out. If my document fields don't match to the invoice endpoint for example, then my extractor won't be able to pull my own defined document type, correct? I understand you're on paternity leave (congrats, btw) but if you could just point me in the right direction, that'd help me a lot!!

Hi Anders.. in this video, when you are adding the fields in the configure extractors section, the extractor only has specific fields appearing in the drop down field. what additional steps should we perform if say we also have to extract the qty field as well?

Hello Anders! What if we want the process to be unattended? For example, if we have a very large number of invoices (say 100 or 1000), then the Present Validation Station will have to deleted/disabled, because it won't be efficient to stop the process 100 or 1000 times to validate the results. Is there a solution on this case?

Great Video mr. Anders, but i have a question. For example it finds my invoice number as : st 001 , i corect it as just 001 without the "st". But if i run again the same file it still finds st 001 again, isn't the machine learning supposed to learn that is not with the "st" ? The "st" is actually "#" before the invoice number. Thanks.

Hi Anders Jensen - I have tried creating "Table Type Variable" and tried write during the datatable method as shown here. But it is not working. It is simply writing the data as "Table" instead of the real values. Do you know, what "Data Type" i have choose while creating the column in the Build Data table activity??

@Anders Jensen Hi, I've watched the video on document understanding and trying to replicate the process to extract identity card and passport details but for configure extractors step, we copied the link for invoice template but our passport doesn't have elements like billing name, amount etc for the dropdown to change etc. How am I supposed to change? (the elements i am extracting are like passport number, country of birth etc) how should i link them instead?

Hey Anders, amazing tutorial! I tried to get the Invoice Description which has multi values. I did specify it in Taxonomy Manager, I am unable to find the right type from Extractors Configuration. I choose "items" instead but it did not extract anything. I got empty values and I had to manually select the description in Validation Station. I have also tried with other Endpoints, Indian Invoices but again the output was the same.
In the validation station, I tried with Custom Area but I am not sure what really the difference is between Tokens and Custom Area.
Also, I was trying to achieve what IQ Bot of Automation Anywhere does using UiPath. Please guide me! Thanks! :)

I am trying to extract every row with their respective info (ID, Description, Qty, Price) It is not like a unique data point per file like invoiceNo or invoiceDate but several rows per invoice and different invoices can have different quantities of rows. Like for example, 1 invoice can have more than 30 items and is taking more than just one page. Hope this all make sense.

I had a question to this video is it possible to read data from a personal information employee pdf with name, address, zipcode, city, BSN number, birthdate, Gender, details partner, contract, phone number, email address and bank account to read and copy to an upload sheet in excel with fixed columns? The pdf is vertical and the excel sheet is horizontal, is that a problem? Is this possible to read from pdf and copy to excel with all these fields and copy them to specific columns in excel? @@andersjensenorg Thank you for your replay. It is a text pdf which need to write to an upload excel file which has fixed layout like horizontal address, zipcode, city. But is it possible to write for example address not on column A but on column C or D because my first columns are company number, period who are fixed for my upload template? So is it possible to read address on pdf and copy it to excel not on column A but C and so on with the other criteria? Hey Adrian. You can use custom trained models based on DU, but I have no experience in it (mainly because I live in a country, where GDPR apply very strictly, hence it's not something we use (the cloud features). Kind regards, Anders
Hi Anders, may i check with u, if the bot run into errors while extracting the data, can the bot throw the errors out let human handle the exception, while proceed with the rest of the invoices? Because i want to let the bot run overnight and do not want it to stuck because of one bad invoice format/or wrong invoice format.

everything is good but I am not sure why the icons, text and other things are so small on the screen, its really hard to see the screen and look what is being written on the screen. it doesn't looks normal, seems the resolution is too big on your screen which is very hard to follow this video on a 14 inch laptop

i have total 11 PDF each file contain Invoice No, Total and Items that i want to extract but the only difference is Items are in table format so i extracted the table but all files are not having same line item, mean one file is having only 1 line and and other file might be having 1/2/3 line item. i am getting wrong report at the end. the problem is if first PDF is having only 1 line item in table to extract. it is not extracting properly it is addling extract line from other PDF.

Yep I have the same issue here at 1080p. I think the problem could be that the video couldve been captured at a much higher resolution than 1080p and then rendered at 1080p. But this is a solid tutorial. :)

You get this error when your Classification Document Scope has failed to successfully classify your documents. You either need to fix your Keyword based classifier or you need to add a "Present Classification Station" in between the "Classification Document Scope" and the "Data Extraction Scope" so that you can classify the document yourself.
