Thanks! This was really really helpful for putting paginated reports into a context. So basically I am taking away from this that anything that USED to be a heavily paper-based process would be a good candidate for paginated reports, rather than Power BI Reports.
I'm the only person in our Analytics team who's leveraging paginated reports. One of the things I'm doing with it is replicating an old export reports into paginated reports and setting up rls. Hard to get started with it but it's definitely good. It could use a little TLC from Microsoft.

I only saw this video now. It was about time. I have clients using SSRS for 10 years, and paginated reports is a key requirement. The invoice example was a good one, clients would export it to individual PDFs so that it could be emailed. Great explanation, 🔥🔥🔥 video!

Recently started to look into paginated reports. The learning curve is rather steep and I don’t like the fact there are way less data sources available compared to PBI. As I currently have limited access to PBI premium (corporate policies...) I can only use the PBI report (PBIX) as a source if I have it open in PBI. Anyway, in my opinion RB is way less mature than PBI in the sense that one the one hand you have a buck load of options, but going back and forth between design and preview is a real pain... to me it feels a bit like Visio. Yes, it is there, but for some weird reason it does not really compare to other office tools. Anyway, I still don’t see why this could not be implemented in PBI desktop tbh... I think giving more controls over on how to print pages in PBI desktop would also solve the issue for 80% of my use-cases.
Because Microsofts focus is reuse ( of existing software ) and not provind the best tool for the job they've wedged in things that weren't built from the start to work together. Thus the already bad report designer in SSRS is being weged in to provide printable reports for Power BI.
Coming from the SSRS world, we would publish reports to either the Report Server or Sharepoint. In either case, we would connect to a shared dataset. It didn’t matter what the report had embedded, the shared date set would be used instead. When my company would upgrade a SQL server, we just updated shared dataset. No need to update 30+ reports. We had to convert SSRS to Power BI paginated when we switched to Sharepoint Online. But there’s no shared dataset. The gateway automatically connects to matching embedded data source. This means I now have to manually update 30+ reports when we upgrade SQL servers. Am I missing something???

In website I want to embedd (iFrame) this report but want to show only errands which are related to the user without user selecting this. Hi there, I need some help with paginated report in Power BI report builder. Just wanted to hide a rectangle with a chart inside depending of an expression. Love this explanation! I have this data set that we've created in Excel (because it's what I know) that I think this will be excellent for. We collect information to help us determine all the the items needed to build rooms in an architectural project. Then we have to create a sheet for each room. Right now I have formulas feeding a summary sheet, but we have to pick each room, adjust row heights, print to PDF, then do the next room. Sometimes up to 50 rooms! Can we update the Excel file and it feeds the Power BI data set? If we could create paginated reports for this, would we need each user to have a subscription in Power BI Premium? Or is there a way a Microsoft 365 user can just print the report?

I have a big model with huge data so am trying to filter at the source itself in the query designer window on the dimension level but unable to use the dateadd function as it doesn't allow me to use the today function for substracting the current date with last 3 months so added a current date field in the power bi dataset and tried to use the same but not getting the expected result. Can you please help how to apply rolling 3 months filter at the data source level?

My requirement is to use the Power BI dataset in Power BI reports Builder but as a SQL Query, so that it can work on relational database. Is it possible. Please help

The query is always 2 seconds or less in dax studio but when I run it in my paginated report it always takes much longer. like 10 seconds. Its lacks integration with visual studio right now. Which encourages bad practice if you make a mistake how do you roll back ? You could store all rdls into a blank solution but they have it all in ssrs solutions how much work can it be to migrate? Also can power automate run like Data driven sub?
Yeah that is a known challenge. I'm not aware of any plans to update SSDT to accommodate Power BI Paginated Reports. For source control / roll back, I'd recommend something like a GitHub repo. For data driven subscriptions, you could use Power Automate to accomplish that. Check out John White's blog. I take it since the PBI paginate reports use the same tool for design as SSRS that they will look equally as unprofessional and not near as nice as Crystal Reports based report. You'd think with how many years SSRS is out they'd have found a way to fix this on SSRS but so is the consequences of creating a report creation tool that uses a matrix type of design versus the time tested Banded approach
I still can't quite understand the reason why Report Builder is still existing and not only being maintained by Microsoft but also further developed alongside Power BI Desktop! So the whole existence of Report Builder is justified mainly because you cannot paginate a table / matrix in Power BI Desktop? Could'nt they instead invest all this money in a "tiny" property on a matrix in Power BI Desktop that says "YES, enable pages for this matrix!". I mean they did so much incredible work in Power BI Desktop, and they cannot enable this one more checkbox? (ok, maybe two or three additional checkboxes, but basically that's what it is - a property of a table). Instead they are willing to maintain this whole another tool with all the redundant dev costs, so many redundant functionalities (which is already developed in PBID) and so on. Someone please help me understand this.

Not directly. If you mean rows in a table, you can accomplish a lot. If you mean paginating, like splitting and having 10,000 pages in the report, I would rethink that.
I love it! My users often like to "export to excel" on my report data, however I wonder if a paginated report would be a better way for them to export with their selected slicers in a spreadsheet format? Especially if I can do it with a big giant button "Click here to export"

Great. Can cross report filter work with paginated reports? For example, I've a PBI report (normal) published in PBI service showing the summary with interactive charts and slicers. Another paginated report (pointing to same dataset) published in service. This report has more granular level data. Now can we have a link from interactive report to paginated report with All the filters flowing from interactive report to paginated report??

Thanks for the video Patrick. Is there a way to automate the paginated report to not one pdf with 3 invoice pages but let's say 200 individual Excel spreadsheets and send that to various client groups? I am essentially looking for bursting based on a parameter.
My company is needing the same thing. I’ve created decent reports that we can export funcional invoices and manually send out but it can’t scale since any more than a handful becomes quite time consuming. you could with SSRS but it's a little more technical than PowerBi is. It's basically parameterizing the report and calling the parameterized report for each customer.
I feel like the example of the paginated report was a bit underwhelming. It's very easy to just allow multiple selections on a slicer and there is a search bar if the list is too long. Sure the visual would have to change to look more like an excel file. But most people (in my experience) are used to seeing excel files and having that information displayed in a horizontal row as opposed to all over a form that you made look pretty for a page. Not to say that presentation doesn't matter but the real point to creating these reports is to be able to see information quickly and efficiently. If the visual you had displaying the information was changed to something like just a basic matrix table, with the rows displaying the information that you want to see based on column selection, you could have avoided possibly hours of work in order to display information that could have been made AT WORST a drill through page. What I am looking for is a way to see what is being used in this dataset. I am looking into this feature simply for introspection on this single dataset to see which columns and measures are being used by which report. This isn't for anything forward facing to any client. This is to try to "Clean up" and try to simplify queries that have to run multiple times a day and have a tax on the hardware as well as read and write queue's. Can you help me out with a video explaining how to do more reporting with paginated reports looking at measures used and by which report and how many views that report has? I would even just take a no pretty visual, straight up report. Please assist
Is there a video that walks through the grouping setup that is required to break out the invoices into separate pages (Patrick touches on this at the 8:45 mark)? I know where to find the page break by group within a specific table, but how is this accomplished when more than one visual needs to stay on the same page (e.g. a table and chart by invoice number)?

wow, this is great. I am hoping I can use this to create reports from a model that has RLS at branch specific locations, where i don't want branches to see other branches sales, but then use paginated reports to do a ranking to show how they rank in growth compared to other branches. That way they see each other's growth %, but not sales $s.
Nice .. But this is almost like an SSRS paginated report like creating Data Sources, Data Sets , etc .. and export to any file format we need .. But the new thing here is publishing to PBI Service instead PBI Server :)

Paginated reports don't house a semantic model. They can reference one, but they don't contain data like a Power BI dataset. You would need to create those in the model directly.
Paginated reports are great, but the report builder is not a fun experience. Even a 15 year old version of Business Objects is night and day better than the report authoring experience in report builder.
I have limited familiarity here and could be wrong, but this PBI report builder looks essentially like a rebranding of Microsoft's old SSRS report builder, maybe with a few new features that give it some interoperability with the PBI service. Someone with more experience with SSRS and PBI report builder could probably provide more insight. In any case, I believe this is why the tool looks so dated...because it is probably just an extension of an application that got its start almost 20 years ago.
I'd also add, that using Paginated reports doesn't necessarily mean you are printing it. Although that is a benefit of it. The controlled layout is also preferred.
I really hate this tool. Its so full on nonsense trying to mimic what one does on a complicated Power BI report. My boss is forcing me to use this tool more than I like for Paginated reports. I find it so hard when you have to create multiple parameters and edit/reedit the source queries etc.

Correct. These were really the reporting options before Power BI. Great for printed reports or items you want to break up with page breaks cleanly.

So Microsoft renamed the SSRS service to Paginated Reports... I wonder if it still support subscription emails.

Its lacks integration with visual studio right now. Which encourages bad practice if you make a mistake how do you roll back ? You could store all rdls into a blank solution but they have it all in ssrs solutions how much work can it be to migrate? Also can power automate run like Data driven sub?
Yeah that is a known challenge. I'm not aware of any plans to update SSDT to accommodate Power BI Paginated Reports. For source control / roll back, I'd recommend something like a GitHub repo.
For data driven subscriptions, you could use Power Automate to accomplish that. Check out John White's blog. Not directly about Paginated, but gives you an idea. whitepages.unlimitedviz.com/2020/06/creating-data-driven-subscriptions-for-power-bi-reports/

I take it since the PBI paginate reports use the same tool for design as SSRS that they will look equally as unprofessional and not near as nice as Crystal Reports based report. You'd think with how many years SSRS is out they'd have found a way to fix this on SSRS but so is the consequences of creating a report creation tool that uses a matrix type of design versus the time tested Banded approach

I still can't quite understand the reason why Report Builder is still existing and not only being maintained by Microsoft but also further developed alongside Power BI Desktop! So the whole existence of Report Builder is justified mainly because you cannot paginate a table / matrix in Power BI Desktop? Could'nt they instead invest all this money in a "tiny" property on a matrix in Power BI Desktop that says "YES, enable pages for this matrix!". I mean they did so much incredible work in Power BI Desktop, and they cannot enable this one more checkbox? (ok, maybe two or three additional checkboxes, but basically that's what it is - a property of a table). Instead they are willing to maintain this whole another tool with all the redundant dev costs, so many redundant functionalities (which is already developed in PBID) and so on. Someone please help me understand this.
I'm advanced reporting services developer and always think that Power BI must have this, there are a lot of cases when you need print ready reports and no dashboards

Not directly. If you mean rows in a table, you can accomplish a lot. If you mean paginating, like splitting and having 10,000 pages in the report, I would rethink that.
I love it! My users often like to "export to excel" on my report data, however I wonder if a paginated report would be a better way for them to export with their selected slicers in a spreadsheet format? Especially if I can do it with a big giant button "Click here to export"
This is a great use case for paginated reports, and we’re doing additional work here to make this scenario even easier.
You can go for subscribe option, there choose spreadsheet as a export type and with the current selected filter values.
We also did a video a while back on a way you could accomplish this. Really looking forward to the upcoming Paginated visual as well.

Can cross report filter work with paginated reports?
For example, I've a PBI report (normal) published in PBI service showing the summary with interactive charts and slicers.
Another paginated report (pointing to same dataset) published in service. This report has more granular level data.
Now can we have a link from interactive report to paginated report with All the filters flowing from interactive report to paginated report??
You could use URL parameters for this currently, but we’re doing work to make this scenario even easier in the coming months.

My company is needing the same thing. I’ve created decent reports that we can export funcional invoices and manually send out but it can’t scale since any more than a handful becomes quite time consuming. you could with SSRS but it's a little more technical than PowerBi is. It's basically parameterizing the report and calling the parameterized report for each customer.

I feel like the example of the paginated report was a bit underwhelming. It's very easy to just allow multiple selections on a slicer and there is a search bar if the list is too long. Sure the visual would have to change to look more like an excel file. But most people (in my experience) are used to seeing excel files and having that information displayed in a horizontal row as opposed to all over a form that you made look pretty for a page. Not to say that presentation doesn't matter but the real point to creating these reports is to be able to see information quickly and efficiently. If the visual you had displaying the information was changed to something like just a basic matrix table, with the rows displaying the information that you want to see based on column selection, you could have avoided possibly hours of work in order to display information that could have been made AT WORST a drill through page.
What I am looking for is a way to see what is being used in this dataset. I am looking into this feature simply for introspection on this single dataset to see which columns and measures are being used by which report. This isn't for anything forward facing to any client. This is to try to "Clean up" and try to simplify queries that have to run multiple times a day and have a tax on the hardware as well as read and write queue's.
Can you help me out with a video explaining how to do more reporting with paginated reports looking at measures used and by which report and how many views that report has? I would even just take a no pretty visual, straight up report.

Lots of issues with Paginated reports are with Embedded. No SSO at all, no PBI datasets as a data source, row-level security is a joke...
Is there a video that walks through the grouping setup that is required to break out the invoices into separate pages (Patrick touches on this at the 8:45 mark)? I know where to find the page break by group within a specific table, but how is this accomplished when more than one visual needs to stay on the same page (e.g. a table and chart by invoice number)?
I have exactly the same requirement. Seriously struggle to find any documentation on how to achieve this. I think it would be great if you can split the report by parameter selection. Does anyone know if this is achievable?

wow, this is great. I am hoping I can use this to create reports from a model that has RLS at branch specific locations, where i don't want branches to see other branches sales, but then use paginated reports to do a ranking to show how they rank in growth compared to other branches. That way they see each other's growth %, but not sales $s.

Question: What about the usage of DAX? Are you able to create Calculated Columns and Measures in paginated reports? If not, are those available in case your data source is *.pbix file or Power BI dataset published to a Service?
Paginated reports don't house a semantic model. They can reference one, but they don't contain data like a Power BI dataset. You would need to create those in the model directly.
Unfortunately still an expensive option. :/

Paginated reports are great, but the report builder is not a fun experience. Even a 15 year old version of Business Objects is night and day better than the report authoring experience in report builder.
There is a lot of effort being put into improving the authoring experience in the coming months, so stay tuned.

I have limited familiarity here and could be wrong, but this PBI report builder looks essentially like a rebranding of Microsoft's old SSRS report builder, maybe with a few new features that give it some interoperability with the PBI service. Someone with more experience with SSRS and PBI report builder could probably provide more insight.
In any case, I believe this is why the tool looks so dated...because it is probably just an extension of an application that got its start almost 20 years ago.

I'd also add, that using Paginated reports doesn't necessarily mean you are printing it. Although that is a benefit of it. The controlled layout is also preferred.

I really hate this tool. Its so full on nonsense trying to mimic what one does on a complicated Power BI report. My boss is forcing me to use this tool more than I like for Paginated reports. I find it so hard when you have to create multiple parameters and edit/reedit the source queries etc.
