Exploring Hubspot for QB's automation and watch. Not trolling, legitimate question: it seems equal if not more efficient to create the invoice in QB's, no?
Thanks for the question Benny, and the clarification that you're not trolling 😇 Better without automation if: 1. Your data in Hubspot is not clear/clean enough to consistently create invoices without changing/adding some data 2. Your hubspot doesn't have the right fields for the invoices (customer email/product purchased/price/service dates, etc) & for some reason you can't add it (red tape) 3. You sell something slightly different to each customer Better with automation if: 1. Your Hubspot fields & Quickbooks fields match (Products, prices, emails or domains from customer/leads) 2. You're selling the same items consistently 3. Your sales team is capable of correctly completing X# of fields before marking the deal as closed-won. In most cases, automating hubspot -> quickbooks does add "more work" for the sales team. Meaning, they need to complete a few more fields before marking the deal as closed-won. Generally though, if you're small, 1-2 sales people, this wouldn't be a huge time saver for you. But if you are able to be clear about your offering (meaning it doesn't change from customer to customer) -> and your sales team is growing. Then this automation will be very helpful and will pay dividends as you scale.
@@XRayAutomation Roger that, thank you for that insight! I have a varied product line and invoices can be quite different between customers. Is there another tool you'd maybe recommend instead of Hubspot for this? Going to to check out your Zapier video
Associated Vids are not coming up when I first test the trigger for the deal in the new stage. Any reason why that could be or something that I'm missing?
Its really hard to tell without checking it out directly. Check the following: - Pulling the newest test data from Zapier - Re-creating the step - Duplicating the Zap
Unfortunately the options on here aren't the same options I have. I can't pull any contact first name or last name to be able to do the search. None of them come up for me
Sounds like you may need to reconnect your accounts. If you go here: zapier.com/app/connections Maybe you can test your Quickbooks/Hubspot connections and reconnect one. Then you should be able to extract the test data from the first step. Give that a try!
Great video, someone explaining what all those numbers mean. Do you have some info about the integration with Monday.com to Quickbooks? I know it sounds lazy on my part but I have tried everything.

@@XRayAutomation Thanks, I've just set up an appointment. Basically when I test the trigger in step one it does not retrieve the associated vids data and so I can't "find contact" in step two. So frustrating :(
Try “refreshing” the test data again. Note that some apps in Zapier have “example test data” and your real data will only be processed once the zap is on.
Thats very strange, can't say we've heard that one before.... Do you actually have data inside your hubspot or Quickbooks? Sometimes a tool will add default data so that something populates instead of blanks. But Elon? Thats weird.

Sounds like you’re looking for a Form + database… checkout Airtable or Smartsuite!

In action 2 I can select "all vids for a contact" but in first search property value, there is no associated vids option. Am I doing something wrong?

The specify a list of properties to retrieve isnt there anymore, it just lists things. ALSO any idea why it populates "Elon Musk" for everyting
