I guess it depends on how robust the database will be. I was just playing with relationships and clickup.... and is it true you have to establish the relationship both ways to connect? for example, I have two list: customer and contract I have established the link between the two lists. if I enter a new contract and link to a record in the customer list.... then ....... I go back to the customer list...... I still have to connect the customer list to the new contact task? (I have to add the contract to the customer; even though I already added this customer in the contract task) does this make any sense?

This is an amazing addition to where ClickUp is heading imo - to become the one app to replace them all 😉 There are so many business processes that require the use of “simple” databases, used by people who might not even know what a database is. A client database from within the sleek looking ClickUp interface is a godsend for these people! But personally, I wouldn’t use it for anything business critical unless the relationships can easily integrate with any of the main cloud databases like Microsoft Azure SQL Database, Google Cloud SQL, Amazon RDS, etc. Supporting some sort of export of these relationships to Google Sheets might also help (although the many-to-many relationships might become clunky) But thnaks for a great product! Keep up the good work 💪🏻😄

You’re a freaking rockstar!!! This spoke to my inner database designing mind and is the best explanation and demonstration I’ve had on this program to date. Trying to figure out the relationships between finders and lists threw me for a loop. I can’t wait to scrap what I currently have to create my CRM/Client mgt area.
I do something similar involving a lot of automation, it's a pitty clickUp doesn't allow to group by relationship or rollup fields, hence I'm forced to continue to using Labels and lists, but it's still a great platform and my business relies on it for part of the sales and the whole operation. The capabilities from integrations thru zapier and level of automation you can achieve is CRAZY!
Layla, thanks for all your great work here. I appreciate these more advanced use-case training which help me understand what's possible, even if I don't see the immediate need or application in my own business. Personally, we've been using Clickup to manager our sales processes and I find it very effective. I've built out a combinations of custom fields and various table views that show who is at what stage in the sales process. We also have three fields: Contract Value, % likelihood of closing, and a calculation of the first x the second. Unfortunately, Clickup doesn't yet calculate the sum of the third field. When they do, that will give us an up to date estimate of our pipeline value. Also using Goals (eagerly looking forward to Goals v2) to keep focused on our OKRs and prioritize the week's work.
Hey there, Dov! I'm glad you commented -- I think so many are going to find your story helpful (and even inspiring!) as they decide what they'd like to build out for themselves! I've personally (and indirectly, many times) made noise about the lack of being able to calculate Formula fields and last I heard it is on the 2021 mid-year roadmap! Looking forward to Goals v2 as well -- wouldn't be surprised if formula updates were paired with this feature.
If ClickUp had a set of data that is not a task, but independent of tasks I would totally see doing a CRM like this in ClickUp, ala AirTable. With that said, this is totally useful in creating complex tasks. I currently have a task list for onboarding, I'm onboarding users into a system as part of a project, and there is a lot to keep track of as part of the process. I created a ton of custom fields, but it could have been more elegant with relationships and roll ups. Thanks for always showing us the cutting edge.

My understanding is that ClickUp 3.0 will have custom task types, i.e. tasks that are not called tasks. Looking forward to seeing what this really means.
Thanks for such a helpful video, Layla! Do you know how these relationships can be maintained if a 'task' is moved from one list to another? I have a CRM setup whereby I have 'prospects' in one list and 'disqualified' in another list. I have a third list for companies, which the prospects list is referencing. Unfortunately when I move a prospect to disqualified, the relationship is not carried over. Do you know if there is a workaround for this? Do you think I'm using this feature incorrectly? I've created a new space for CRM with 3 lists for Clients, Websites/Projects, Services. And am using relationships to link them together. I can see it working well for keeping track of clients and their history and tasks with my business (I'm a website consultant). Now I just need to work out how I can make it all work with my current CU Space, or, migrate my current setup into it.
Nice presentation Boss, I can see the point in doing Basic CRM work inside ClickUp just so you can use the reporting power within Clickup to get summary data. CRM is an often misunderstood business system concept. CRM is a business-wide process and often the bridge between The Sales Process in an organisation and the product Delivery process is not connected well. Smart API structure should allow you to build effective data bridges I see this with what you have just demonstrated. It certainly got my brain fodder working.
Hey Cameron! Great points (as always). I think this feature really tips the scale for ClickUp. I'd love to see their reporting functionality take center stage of development later this year or in 2022 so we can really start analyzing all this information in a deeper way!
I find most CRM's serve as client, opportunity, and contact databases anyways. They don't do much to "Manage" interactions with clients. I've been looking at click up to create and plan "tasks" as interactions and stay on track with a process, applying the same process to each new client. The relationships are a nice way to connect the lists and cross reference data stored in different lists. It would be nice if you could group by a relationship field.
The follow up question is updating prices to the “product list” by either importing a .CSU file from the manufacturer, or manually updating prices. I considered building the same thing but this is the wall I hit for ease of use.
The inability to do this, and to be able to sort, filter, group by any Rollups, sadly turns would could have been a great feature into a nearly useless one. If they fix this, or somebody can't point out what I'm missing, that would be fantastic! :)
@@ltbaxter I still love being able to create powerful relationship between database Lists and pipeline lists, but I totally agree. It would take it to the next level.

Hey! Just getting caught up on comments🙈 The Relationship will not automatically show up in the second list. You will have to "show" it. To do this, go into the second list and click on the + sign, then select Show/Hide. From here, you'll want to scroll down and find the first list's name. The Relationship will inherit the name of the list where you created the Relationship. If you're still having issues, I recommend verifying that the Relationship is linked to the right list. You can do this by clicking on a task from the second list. In the task view, scroll down to the Relationship section. Confirm if you can see the linked list. If not, try creating the Relationship again.
I think that the major thing holding back ClickUp from starting to replace these types of apps, is its current speed & performance. I do believe it can even do Hubspot's job better if it could handle thousands of records efficiently (and of course, if a skilled PM took the time to set it up this way).
Agreed. Still doesn’t look like a viable CRM option when you have thousands of leads and hundreds of clients. If someone knows how to automate connecting client data pls reach out I’m willing to pay
I think with the addition of sending emails from clickup, it makes the platform a little more viable as a proper CRM. One thing I have been tinkering with is using automation and sales pipeline status setup in order to work through potential leads. On the flip side, we have a low volume of leads to manage and as it sits, I could see it being a nightmare if we had a whole lot more. I'm intrigued by what we can pull off with this, but lately with all of the updates, I have had a few things stop working for random reasons.
Agreed, it's been more buggy than usual lately. But I do think a simple CRM for a low volume (and/or slow-paced) sales process is exactly what this can work well for! Automations for emails will also help with this, once they're released (and then eventually debugged ;))

Great question! If you want to have one Relationship field, but link to multiple tasks across different Lists, you can! When creating the Relationship, you'll be prompted to choose to link "any task from your Workspace" or "tasks from a specific List." Choose "any task from your Workspace" to link tasks in different Lists.

This is a great video, thank you. I have set up a CRM following your instructions. Only issue I ran into is that t when I try to change the rollup field to Sum, it keeps reverting back to calculate. I'm not sure if this is a ClickUp bug or me.
Hi, Great video. Helped me a lot. Not sure if you can help me. I have created a relationship and roll up which is working. I have done my the other way as I want to assign a customer to a project. When I create a roll up column in list view it pulls in the data correctly. The problem is when I open the card the fields are empty. It has the field name, then nothing next to it. I was thinking that the data should be in there as I want to email from the card and track all conversations related to the project without having to click on a email address ever time. Thank you!
Hey! Just getting caught up on comments🙈 Great question! I'm understanding you want to view customer emails from the project list. Assuming this is correct, I recommend creating the Relationship from the Project list. When creating the Relationship, select add a Rollup field and choose the email custom field. This will allow that anytime you click on a project task, you will see the customer name (the task in the list) and email (the rollup). When clicking on the customer task, scroll down to the Relationships and you will see the project name (task). I hope this helps! 😀
Awesome video Layla,thank you!! But I have a doubt now, for example I have a cliente list and another with some tasks that I want to pull some rollup information, but I want to make private my client list, so my employees can't see the contract value. Is it possible to do that permissions ?
Hey! Just getting caught up on comments🙈 Great question! When you create a relationship between tasks, there is access to both lists from either list. This means if your client list is "private," the member must have access to the client list, or they will not see the contents of the relationship. A workaround could be to duplicate the client list and if the contract amounts are in the description of the task or a field form, remove them. Then utilize the client (copy) list to build the relationship and add the rollups to the task list you want to share with your employees. I hope this helps!
Layla, fantastic overview of how to use relations within Clickup! One thing I can't seem to get it to do though is pick a DropDown custom field as a standalone Rollup field, so that its value is displayed in either List or Table view (similar to how you selected the Budget custom field). The Dropdowns can be chosen in the Relationship field, when choosing a Rollup, but not the standalone Rollup field. I wonder if I'm not doing something correctly, or if this is a bug?
Hi Chad! Unfortunately, I don't believe this is a bug. As of right now, the options available for the separate rollup field are _very_ limited. When you have any categories, phases, and stages like "companies" and want to display this in tasks, I recommend using a Dropdown Custom Field. The Dropdown Custom Field is an excellent option for data types that don't need to be linked via Relationships. Of course, you can use other Custom Field types, but the dropdown field is my favorite! Thanks for this video. I’m excited to start ClickUp. I’d like to make the customer view visible for my clients so they can see the status of their projects. I see I can share a public link, but it seems that said link does not show the relationships. Is this possible?

In the meantime, a solution could be to add the person you want to share this list with as a guest to your workspace. I love this idea for my PR database, managing my pitches. My only question is whether the relationships and roll ups can be automated? Or do you manually have to “establish” the relationship each time?
I'm using a "Relationship" field to display Tasks related to a Client record. The problem is, I see ALL tasks when I only want to see the Open/Incomplete tasks. Any idea on how to accomplish this?
You have your relationship allowing you to link to tasks in any location. When setting up your Relationship, you can restrict it to a certain List to make it easier!

In Wrike I would just click and drag across all the email address cells like in Excel, then paste into a new email I'm composing. Can't see how to do it in Clickup

Though, it seems like you want to select tasks with the email custom field and send a bulk email. Perhaps using the Bulk Action toolbar! If this is the case, I couldn't find a similar request in Canny (clickup.canny.io/), but I think this would be a great implementation inside of ClickUp. If this is what you had in mind, I encourage you to create a feature request explaining how you would like this work. I hope this helps!

I have a couple of things to note about the video: 1) I find it super hard to see with your Workspace being in Dark Mode 2) No matter what I try, I cannot seem to find the "Budget" option for Relationships! Is this option only available in Enterprise?

As for "Budget" this is not a premade field. You'd need to add a new Custom Field that's the Relationship type and call it "budget" to make this happen for yourself! :)
I have been trying to build a Customer Database, (not CRM) for a while. Started using Airtable but would really like to move it to ClickUp. Now with the email functionality, it can be what I need it to be. Only issue would be Automation? Can these additions/selections be automated via something like Zapier? When a new order comes in, Zapier adds the Customer (or searches) and then adds the new Projects, Services, etc. If that can be built out, would definitely be worth the switch for me. Thanks for the great work as alwyas!
Quite easy to do for new customers, but it could be a little messy for oingoing updates to the records. The "look up existing customer" piece can be challenging and would almost definitely require Integromat (vs Zapier) to truly keep things in sync. :)
Dear Layla. I have 2 lists. One are the project tasks. The other is the list of pool of experts available. So if I want to assign an expert for a task, I build up the relationship with the task as you did here. As a rollup, I use the performed working days of the expert for the related task. How can I substract the working days of the expert from the total working days in the task?

To find the difference between the working days of the pool expert from the total working days in the task, we would need to be able to calculate the total working days in the task and the rollup hours using the Formula Custom Field. Unfortunately, this is not available in ClickUp at the moment. However, I'd like to share a workaround that requires manual work but will ultimately get the job done! Use two Number Custom Fields to display the working days from the expert and the working days of the task. You will have to enter the rollup digit here manually. Next, you will want to add a Formula field to subtract the Number Custom Fields. This will give you the difference between both amounts of hours. 😀

Hey Derek! Just getting caught up on comments🙈 Great Question! One Relationship can connect tasks from two different Lists. In the video, Layla creates a Relationship between Customers and Projects. This means that the tasks from the Customer and the Project List can be connected and seen from either List. The same happens when creating the Relationship between the Projects and Services Lists. The Relationship becomes a "bridge" to select tasks from either List. To go inside the Services List and choose tasks or, in this case, names from the Customers List, you would need to create that "bridge" between the two. The Relationship would be that bridge. I hope this helped clarify your question!
How might you handle services when the pricing is dynamic? Would you just add the service but not input the dollar amount and instead add it to the specific project instead?
@layla can we define roles in Clickup and when we assign certain person software automatically assign all the task assigned to the the role to tgat specified person? For example in every job you assign certain to Admin role and when you define in each folder who is Admin on that job, software assign all admin task to that person? Thanks
Hey! Just getting caught up on comments🙈 Currently, assigning tasks by role is a feature request in ClickUp. However, I think a workaround for this could be using a Dropdown Custom Field that includes all of your company's roles. This might not be ideal if you have many roles because it'll include many automations, but I'll let you decide. Add this field to the Folders where you would need tasks by the role assigned. Next, create an Automation at the level of the hierarchy where you need the automation to fire. For example, if you need all Folders in a Space to be triggered by this, add the automation at the Space Level. If it's for all Lists in a Folder, add it at the Folder level. The Automation should be when a Custom Field changes from any to X, then assign X. I recommend you keep an eye out for any roles that include multiple people to avoid multiple assignees per task; creating distinct fields could solve this. I hope this helps!

This is a feature request in ClickUp; check it out here: clickup.canny.io/feature-requests/p/relationships-task-to-list-task-to-all-tasks-in-a-list Since all of your Clients are lists, I'm assuming the name of the list is the Client. I would ask, do you need to see the client name connected to the rollup? If so, a not ideal workaround would be creating a task that can live at the top of the list. This can include your client name and any additional details you'd like it to have. Since relationships build a bridge between tasks in lists, there is no way to connect to the List (client) name specifically. I hope this helps!
Hey Layla, your videos are great. But I am overwhelmed with all features. I need for a dog school with approx 50 customers an overview, who paid (on monthly level), what kind of contract the customer has (3-months 10 EUR per month, 6 months 5 EUR per month, 1 month 20 EUR per month, after twice 3-months contracts, the customer goes automatically into monthly rate of 6 months customers). Single lessons are different price, depending whether the customer is a 1-month, 3-month oder 6-month customer. How the hell can I make this in Clickup. How can I start? Hey Alan! Just getting caught up on comments🙈 I'm thinking you could assign your sales team a recurring task to make the weekly sales calls. If the sales teams call once a week, have the task recur weekly. If it's daily, have the recurring happen daily. To track the number of calls, you could use subtasks or checklists to track how many calls they make. Do you want your sales team to provide a name and number to show the call, or is a number sufficient? If knowing the number is sufficient, I would create a template for the recurring task to include a checklist with numbers in the task description. When an agent completes the call, they can check the checklist off. Another idea is to have the sales agent create a subtask per call. This way, the number of subtasks in the recurring task will be the number of calls made.
I am also experiencing the same issue as Dan. I've watched the video twice to make sure I have followed the steps but when it comes to adding the new relationship the +Add button does not appear and if I click on the row item, it registers for a second then disappears.
Hey! Just getting caught up on comments🙈 Interesting! It sounded like the Relationship ClickApp was disabled, but this could be a bug if it appeared and disappeared. Try disabling and enabling the Relationship ClickApp from your settings page. Then, go back and add the Relationship again. If this does not work, I recommend recording what you're experiencing using the Clip feature (help.clickup.com/hc/en-us/articles/6311242882967-Use-Clip-screen-recording) built inside ClickUp and contacting their support team (help.clickup.com/hc/en-us/categories/5927901136151-Technical-Support) I hope this is resolved for you promptly!
one more problem i am facing... i made two spaces .. one for Project and one for Clients... like you are doing it in the same space.. but i am on able to make relationship from different space .. if i did i am not found the custome field for Roll over..
Hey! Just getting caught up on comments🙈 Hmm... let's figure this out! You can create a Relationship between Lists in different Spaces. You said your projects and clients are both Spaces. To link tasks in Lists, your project and client names would have to be tasks. This means that 'projects' and 'clients' can be reduced to Lists, and your project and client names will be tasks. When creating the Relationship field, ClickUp will ask you to choose the Lists you would like to connect. These Lists can be in different Spaces, so if you'd like to keep your projects and clients in separate spaces, you could, but we recommend keeping them in the same space to centralize your work. Here, you can elect to include a Rollup from the List you selected. I hope this helps!
I found 2 issues with relationships which makes it premature and useless for me. 1. as it stands today, dashboards do not support a relationship field. 2. Rollup fields doesn't work off another relationship field. This means id have to enter the information twice. This makes the relationship part useless.
Hey! Just getting caught up on comments🙈 While it's true, Dashboard widgets do not support selecting Relationship fields; you can use some widgets and view Relationships inside a Dashboard. For example, you can add a task list widget and your relationship to view it from the Dashboard. If you're looking to report on data based on Relationships, this is a limitation on ClickUp's end. For the Rollup fields, I concur with this feeling. I assume you want to use the Rollup field value in a separate custom field. If this is correct, this is currently a feature request (clickup.canny.io/feature-requests/p/make-rollups-from-relationships-available-for-formula-fields). I encourage you to add your vote and comment on how you would like to use this rollup! I hope this helps!
Am I losing my mind today? Did Clickup get rid of tag automations?! "If task has xyz tag applied, then do this". I swear this used to be an option. I have tags set to "on" in my space settings, so I know that's not the issue.
Strange! If you'd have asked me, I would have said, "Yes, of course Tags can trigger automations!" I really thought they did (at some point?). But -- I can confirm -- it's not currently available as a Trigger.
Ironically this setup seems to be the only way to effectively manage what actual “CRM” fail to do... allow a lead to be associated with multiple companies, deals and contracts...
I wish I could say this was helpful. You talk a mile a minute and click around as if we have any idea what is inside the tool. As someone who just purchased the tool and has ZERO idea of what any of the lingo even is, this was so frustrating for me that I'm ready to throw in the towel and ask for a refund. People come to these videos to learn... and that was impossible. And, as a curriculum designer, if you want people to follow, I'd recommend you not talk about how you "could" do stuff that you aren't going to do because "it's premature." That just adds to the confusion. With any luck I'll find someone to show me how to use this system because I'll never learn from these videos such as they are.
Virginia - There are tons of certified ClickUp consultants out there who charge hundreds of dollars to teach businesses to implement ClickUp. Layla puts out SOOO much valuable content, for free, and each and every one of us small business owners should be nothing but grateful because NOBODY 👏 OWES👏 US👏 ANYTHING 👏 Furthermore, there is literally an option in the settings for youtube videos (gear icon to the top right of your screen) to slow down the speed to whatever speed you learn best at - USE IT. Some people actually like to speed it up to consume content quicker. Everyone is different...I'd highly recommend changing your attitude that everyone should bend to accomodate *your* personal preferences as if you are the only one out here trying to figure something out 🙄 As a curriculum designer, you should know that no learner is the same, and thus we have speed settings and videos for various levels of learners. Perhaps you should have started with a beginners/basics video instead of going straight to the video for implementation of the feature you signed up for and expecting to take shortcuts before acquiring a basic foundational working knowledge 🤯

Solid video with great info. So much packed in I had to slow it down to normal speed! lol...I hope you or someone can answer this... I'm trying to import a contact list csv file, and I am stuck at not knowing what I should map the Task Name field with in my contact list. I thought maybe emails, as everyone of them has an email, or last or first name, as they each should also have it. I already tried doing a empty field and it imported 1 contact. So, I have searched and watched hours of videos with no one touching on this topic. I am trying to set this up for me to use for sales reps. Would you (or did you) build a client database in ClickUp? Why or why not?
I guess it depends on how robust the database will be. I was just playing with relationships and clickup.... and is it true you have to establish the relationship both ways to connect?
for example, I have two list: customer and contract
I have established the link between the two lists.
if I enter a new contract and link to a record in the customer list.... then ....... I go back to the customer list...... I still have to connect the customer list to the new contact task? (I have to add the contract to the customer; even though I already added this customer in the contract task)
does this make any sense?

This is an amazing addition to where ClickUp is heading imo - to become the one app to replace them all 😉 There are so many business processes that require the use of “simple” databases, used by people who might not even know what a database is. A client database from within the sleek looking ClickUp interface is a godsend for these people!
But personally, I wouldn’t use it for anything business critical unless the relationships can easily integrate with any of the main cloud databases like Microsoft Azure SQL Database, Google Cloud SQL, Amazon RDS, etc.
Supporting some sort of export of these relationships to Google Sheets might also help (although the many-to-many relationships might become clunky)

I do something similar involving a lot of automation, it's a pitty clickUp doesn't allow to group by relationship or rollup fields, hence I'm forced to continue to using Labels and lists, but it's still a great platform and my business relies on it for part of the sales and the whole operation.
The capabilities from integrations thru zapier and level of automation you can achieve is CRAZY!

I appreciate these more advanced use-case training which help me understand what's possible, even if I don't see the immediate need or application in my own business.
Personally, we've been using Clickup to manager our sales processes and I find it very effective. I've built out a combinations of custom fields and various table views that show who is at what stage in the sales process.
We also have three fields: Contract Value, % likelihood of closing, and a calculation of the first x the second. Unfortunately, Clickup doesn't yet calculate the sum of the third field. When they do, that will give us an up to date estimate of our pipeline value.
Also using Goals (eagerly looking forward to Goals v2) to keep focused on our OKRs and prioritize the week's work.

I've personally (and indirectly, many times) made noise about the lack of being able to calculate Formula fields and last I heard it is on the 2021 mid-year roadmap!
Looking forward to Goals v2 as well -- wouldn't be surprised if formula updates were paired with this feature.

If ClickUp had a set of data that is not a task, but independent of tasks I would totally see doing a CRM like this in ClickUp, ala AirTable. With that said, this is totally useful in creating complex tasks. I currently have a task list for onboarding, I'm onboarding users into a system as part of a project, and there is a lot to keep track of as part of the process. I created a ton of custom fields, but it could have been more elegant with relationships and roll ups. Thanks for always showing us the cutting edge.

My understanding is that ClickUp 3.0 will have custom task types, i.e. tasks that are not called tasks. Looking forward to seeing what this really means.

Thanks for such a helpful video, Layla! Do you know how these relationships can be maintained if a 'task' is moved from one list to another? I have a CRM setup whereby I have 'prospects' in one list and 'disqualified' in another list. I have a third list for companies, which the prospects list is referencing. Unfortunately when I move a prospect to disqualified, the relationship is not carried over. Do you know if there is a workaround for this? Do you think I'm using this feature incorrectly? I've created a new space for CRM with 3 lists for Clients, Websites/Projects, Services. And am using relationships to link them together. I can see it working well for keeping track of clients and their history and tasks with my business (I'm a website consultant).
Now I just need to work out how I can make it all work with my current CU Space, or, migrate my current setup into it.

I can see the point in doing Basic CRM work inside ClickUp just so you can use the reporting power within Clickup to get summary data.
CRM is an often misunderstood business system concept.
CRM is a business-wide process and often the bridge between The Sales Process in an organisation and the product Delivery process is not connected well.
Smart API structure should allow you to build effective data bridges I see this with what you have just demonstrated.
It certainly got my brain fodder working.

I find most CRM's serve as client, opportunity, and contact databases anyways. They don't do much to "Manage" interactions with clients. I've been looking at click up to create and plan "tasks" as interactions and stay on track with a process, applying the same process to each new client. The relationships are a nice way to connect the lists and cross reference data stored in different lists. It would be nice if you could group by a relationship field.

You could, yes!
The follow up question is updating prices to the “product list” by either importing a .CSU file from the manufacturer, or manually updating prices. I considered building the same thing but this is the wall I hit for ease of use.

The inability to do this, and to be able to sort, filter, group by any Rollups, sadly turns would could have been a great feature into a nearly useless one. If they fix this, or somebody can't point out what I'm missing, that would be fantastic! :)

My workaround would be taking advantage of custom fields that can provide some function in your lists and using them to group/filter your views. Using tags or priorities would also work beautifully!

The Relationship will not automatically show up in the second list. You will have to "show" it.
To do this, go into the second list and click on the + sign, then select Show/Hide. From here, you'll want to scroll down and find the first list's name. The Relationship will inherit the name of the list where you created the Relationship.
If you're still having issues, I recommend verifying that the Relationship is linked to the right list. You can do this by clicking on a task from the second list. In the task view, scroll down to the Relationship section. Confirm if you can see the linked list. If not, try creating the Relationship again.
I think that the major thing holding back ClickUp from starting to replace these types of apps, is its current speed & performance. I do believe it can even do Hubspot's job better if it could handle thousands of records efficiently (and of course, if a skilled PM took the time to set it up this way).
I'd be fascinated to see what this conversation will be like by Q3. Speed (and reliability in general) is everything, especially for a CRM use case!
Agreed. Still doesn’t look like a viable CRM option when you have thousands of leads and hundreds of clients. If someone knows how to automate connecting client data pls reach out I’m willing to pay
I think with the addition of sending emails from clickup, it makes the platform a little more viable as a proper CRM. One thing I have been tinkering with is using automation and sales pipeline status setup in order to work through potential leads. On the flip side, we have a low volume of leads to manage and as it sits, I could see it being a nightmare if we had a whole lot more. I'm intrigued by what we can pull off with this, but lately with all of the updates, I have had a few things stop working for random reasons.
Agreed, it's been more buggy than usual lately. But I do think a simple CRM for a low volume (and/or slow-paced) sales process is exactly what this can work well for!
Automations for emails will also help with this, once they're released (and then eventually debugged ;))

If you want to have one Relationship field, but link to multiple tasks across different Lists, you can!
When creating the Relationship, you'll be prompted to choose to link "any task from your Workspace" or "tasks from a specific List." Choose "any task from your Workspace" to link tasks in different Lists.

Hi, Great video. Helped me a lot. Not sure if you can help me. I have created a relationship and roll up which is working. I have done my the other way as I want to assign a customer to a project. When I create a roll up column in list view it pulls in the data correctly. The problem is when I open the card the fields are empty. It has the field name, then nothing next to it. I was thinking that the data should be in there as I want to email from the card and track all conversations related to the project without having to click on a email address ever time. Thank you!

Great question!
I'm understanding you want to view customer emails from the project list. Assuming this is correct, I recommend creating the Relationship from the Project list. When creating the Relationship, select add a Rollup field and choose the email custom field.
This will allow that anytime you click on a project task, you will see the customer name (the task in the list) and email (the rollup).
When clicking on the customer task, scroll down to the Relationships and you will see the project name (task).

Great question!
When you create a relationship between tasks, there is access to both lists from either list.
This means if your client list is "private," the member must have access to the client list, or they will not see the contents of the relationship.
A workaround could be to duplicate the client list and if the contract amounts are in the description of the task or a field form, remove them. Then utilize the client (copy) list to build the relationship and add the rollups to the task list you want to share with your employees.

Layla, fantastic overview of how to use relations within Clickup! One thing I can't seem to get it to do though is pick a DropDown custom field as a standalone Rollup field, so that its value is displayed in either List or Table view (similar to how you selected the Budget custom field). The Dropdowns can be chosen in the Relationship field, when choosing a Rollup, but not the standalone Rollup field. I wonder if I'm not doing something correctly, or if this is a bug?
Hi Chad! Unfortunately, I don't believe this is a bug. As of right now, the options available for the separate rollup field are _very_ limited.

Absolutely! When you have any categories, phases, and stages like "companies" and want to display this in tasks, I recommend using a Dropdown Custom Field.
The Dropdown Custom Field is an excellent option for data types that don't need to be linked via Relationships. Of course, you can use other Custom Field types, but the dropdown field is my favorite!

Thanks for this video. I’m excited to start ClickUp. I’d like to make the customer view visible for my clients so they can see the status of their projects. I see I can share a public link, but it seems that said link does not show the relationships. Is this possible?

I love this idea for my PR database, managing my pitches. My only question is whether the relationships and roll ups can be automated? Or do you manually have to “establish” the relationship each time?
Major downside is that they are currently manual. 😔 No lookup, automations, or templates hold these values (yet!).
I'm using a "Relationship" field to display Tasks related to a Client record.
The problem is, I see ALL tasks when I only want to see the Open/Incomplete tasks.
Any idea on how to accomplish this?
You have your relationship allowing you to link to tasks in any location. When setting up your Relationship, you can restrict it to a certain List to make it easier!

Also - I'm looking for a way to quickly email lots of people based on the Email address field. In Wrike I would just click and drag across all the email address cells like in Excel, then paste into a new email I'm composing. Can't see how to do it in Clickup

Currently, bulk emailing is a feature request (clickup.canny.io/feature-requests/p/sending-mass-emails). Though, it seems like you want to select tasks with the email custom field and send a bulk email. Perhaps using the Bulk Action toolbar!
If this is the case, I couldn't find a similar request in Canny (clickup.canny.io/), but I think this would be a great implementation inside of ClickUp. If this is what you had in mind, I encourage you to create a feature request explaining how you would like this work.

As for "Budget" this is not a premade field. You'd need to add a new Custom Field that's the Relationship type and call it "budget" to make this happen for yourself! :)

I have been trying to build a Customer Database, (not CRM) for a while. Started using Airtable but would really like to move it to ClickUp. Now with the email functionality, it can be what I need it to be. Only issue would be Automation? Can these additions/selections be automated via something like Zapier? When a new order comes in, Zapier adds the Customer (or searches) and then adds the new Projects, Services, etc. If that can be built out, would definitely be worth the switch for me. Thanks for the great work as alwyas!
Quite easy to do for new customers, but it could be a little messy for oingoing updates to the records.
The "look up existing customer" piece can be challenging and would almost definitely require Integromat (vs Zapier) to truly keep things in sync. :)
Dear Layla. I have 2 lists. One are the project tasks. The other is the list of pool of experts available. So if I want to assign an expert for a task, I build up the relationship with the task as you did here. As a rollup, I use the performed working days of the expert for the related task. How can I substract the working days of the expert from the total working days in the task?

To find the difference between the working days of the pool expert from the total working days in the task, we would need to be able to calculate the total working days in the task and the rollup hours using the Formula Custom Field.
Unfortunately, this is not available in ClickUp at the moment. However, I'd like to share a workaround that requires manual work but will ultimately get the job done!
Use two Number Custom Fields to display the working days from the expert and the working days of the task. You will have to enter the rollup digit here manually.
Next, you will want to add a Formula field to subtract the Number Custom Fields. This will give you the difference between both amounts of hours. 😀

Great Question!
One Relationship can connect tasks from two different Lists.
In the video, Layla creates a Relationship between Customers and Projects. This means that the tasks from the Customer and the Project List can be connected and seen from either List.
The same happens when creating the Relationship between the Projects and Services Lists. The Relationship becomes a "bridge" to select tasks from either List.
To go inside the Services List and choose tasks or, in this case, names from the Customers List, you would need to create that "bridge" between the two. The Relationship would be that bridge.

How might you handle services when the pricing is dynamic? Would you just add the service but not input the dollar amount and instead add it to the specific project instead?

@layla can we define roles in Clickup and when we assign certain person software automatically assign all the task assigned to the the role to tgat specified person? For example in every job you assign certain to Admin role and when you define in each folder who is Admin on that job, software assign all admin task to that person? Thanks

Currently, assigning tasks by role is a feature request in ClickUp.
However, I think a workaround for this could be using a Dropdown Custom Field that includes all of your company's roles. This might not be ideal if you have many roles because it'll include many automations, but I'll let you decide.
Add this field to the Folders where you would need tasks by the role assigned. Next, create an Automation at the level of the hierarchy where you need the automation to fire. For example, if you need all Folders in a Space to be triggered by this, add the automation at the Space Level. If it's for all Lists in a Folder, add it at the Folder level.
The Automation should be when a Custom Field changes from any to X, then assign X. I recommend you keep an eye out for any roles that include multiple people to avoid multiple assignees per task; creating distinct fields could solve this.

Since all of your Clients are lists, I'm assuming the name of the list is the Client. I would ask, do you need to see the client name connected to the rollup?
If so, a not ideal workaround would be creating a task that can live at the top of the list. This can include your client name and any additional details you'd like it to have. Since relationships build a bridge between tasks in lists, there is no way to connect to the List (client) name specifically.

Hey Layla, your videos are great. But I am overwhelmed with all features. I need for a dog school with approx 50 customers an overview, who paid (on monthly level), what kind of contract the customer has (3-months 10 EUR per month, 6 months 5 EUR per month, 1 month 20 EUR per month, after twice 3-months contracts, the customer goes automatically into monthly rate of 6 months customers). Single lessons are different price, depending whether the customer is a 1-month, 3-month oder 6-month customer. How the hell can I make this in Clickup. How can I start? Relationships are currently used to connect tasks and docs. As a workaround, that is not ideal, but an option. I recommend creating tasks in the lists or folders you want to connect, which includes the data you want to display in the Relationships.

Anyone know an efficient way to track number of weekly sales calls made by sales staff?

I'm thinking you could assign your sales team a recurring task to make the weekly sales calls.
If the sales teams call once a week, have the task recur weekly. If it's daily, have the recurring happen daily.
To track the number of calls, you could use subtasks or checklists to track how many calls they make. Do you want your sales team to provide a name and number to show the call, or is a number sufficient?
If knowing the number is sufficient, I would create a template for the recurring task to include a checklist with numbers in the task description. When an agent completes the call, they can check the checklist off. Another idea is to have the sales agent create a subtask per call. This way, the number of subtasks in the recurring task will be the number of calls made.
I am also experiencing the same issue as Dan. I've watched the video twice to make sure I have followed the steps but when it comes to adding the new relationship the +Add button does not appear and if I click on the row item, it registers for a second then disappears.

Interesting! It sounded like the Relationship ClickApp was disabled, but this could be a bug if it appeared and disappeared.
Try disabling and enabling the Relationship ClickApp from your settings page. Then, go back and add the Relationship again. If this does not work, I recommend recording what you're experiencing using the Clip feature (help.clickup.com/hc/en-us/articles/6311242882967-Use-Clip-screen-recording) built inside ClickUp and contacting their support team (help.clickup.com/hc/en-us/categories/5927901136151-Technical-Support)

I have a question.... like i have two lists... one is private and one is shared..but i want to make relationship between them.. is that possible? ....
Yes, as long as you have access to both.
I don't see the relationship custom field in the options. Did it change?
Make sure Settings > ClickApps that you have Relationships and Rollups turned on. 🙂

@@LaylaPomper oh I found it! it's in Sidebar > Workspace/Avatar > Clickapps. I was in Sidebar > Space Settings > Clickapps. They are different.

one more problem i am facing... i made two spaces .. one for Project and one for Clients... like you are doing it in the same space.. but i am on able to make relationship from different space .. if i did i am not found the custome field for Roll over..

Hmm... let's figure this out! You can create a Relationship between Lists in different Spaces.
You said your projects and clients are both Spaces. To link tasks in Lists, your project and client names would have to be tasks. This means that 'projects' and 'clients' can be reduced to Lists, and your project and client names will be tasks.
When creating the Relationship field, ClickUp will ask you to choose the Lists you would like to connect. These Lists can be in different Spaces, so if you'd like to keep your projects and clients in separate spaces, you could, but we recommend keeping them in the same space to centralize your work. Here, you can elect to include a Rollup from the List you selected.

I found 2 issues with relationships which makes it premature and useless for me.
1. as it stands today, dashboards do not support a relationship field.
2. Rollup fields doesn't work off another relationship field. This means id have to enter the information twice. This makes the relationship part useless.
Could you give an example on #2? I think this downside would affect me.

While it's true, Dashboard widgets do not support selecting Relationship fields; you can use some widgets and view Relationships inside a Dashboard.
For example, you can add a task list widget and your relationship to view it from the Dashboard. If you're looking to report on data based on Relationships, this is a limitation on ClickUp's end.
For the Rollup fields, I concur with this feeling. I assume you want to use the Rollup field value in a separate custom field. If this is correct, this is currently a feature request (clickup.canny.io/feature-requests/p/make-rollups-from-relationships-available-for-formula-fields). I encourage you to add your vote and comment on how you would like to use this rollup!

Am I losing my mind today? Did Clickup get rid of tag automations?! "If task has xyz tag applied, then do this". I swear this used to be an option. I have tags set to "on" in my space settings, so I know that's not the issue.
Strange! If you'd have asked me, I would have said, "Yes, of course Tags can trigger automations!" I really thought they did (at some point?).
But -- I can confirm -- it's not currently available as a Trigger.

Ironically this setup seems to be the only way to effectively manage what actual “CRM” fail to do... allow a lead to be associated with multiple companies, deals and contracts...
Some lightweight CRMs DO skip these features - it’s crazy. Glad this helped!

I wish I could say this was helpful. You talk a mile a minute and click around as if we have any idea what is inside the tool. As someone who just purchased the tool and has ZERO idea of what any of the lingo even is, this was so frustrating for me that I'm ready to throw in the towel and ask for a refund. People come to these videos to learn... and that was impossible. And, as a curriculum designer, if you want people to follow, I'd recommend you not talk about how you "could" do stuff that you aren't going to do because "it's premature." That just adds to the confusion. With any luck I'll find someone to show me how to use this system because I'll never learn from these videos such as they are.
Virginia - There are tons of certified ClickUp consultants out there who charge hundreds of dollars to teach businesses to implement ClickUp. Layla puts out SOOO much valuable content, for free, and each and every one of us small business owners should be nothing but grateful because NOBODY 👏 OWES👏 US👏 ANYTHING 👏 Furthermore, there is literally an option in the settings for youtube videos (gear icon to the top right of your screen) to slow down the speed to whatever speed you learn best at - USE IT. Some people actually like to speed it up to consume content quicker. Everyone is different...I'd highly recommend changing your attitude that everyone should bend to accomodate *your* personal preferences as if you are the only one out here trying to figure something out 🙄 As a curriculum designer, you should know that no learner is the same, and thus we have speed settings and videos for various levels of learners. Perhaps you should have started with a beginners/basics video instead of going straight to the video for implementation of the feature you signed up for and expecting to take shortcuts before acquiring a basic foundational working knowledge 🤯

I'm trying to import a contact list csv file, and I am stuck at not knowing what I should map the Task Name field with in my contact list. I thought maybe emails, as everyone of them has an email, or last or first name, as they each should also have it. I already tried doing a empty field and it imported 1 contact. So, I have searched and watched hours of videos with no one touching on this topic. I am trying to set this up for me to use for sales reps. The relationship section you went over will surely be key in using this! Thank you @LaylaPomper
