The few sales that you get from cross listing is not worth losing your ebay store over. To many canceled orders and ebay will close your account. Best to put all your focus on one platform until you get a little more experience. Don't give up just keep learning and you will be doing better then you ever thought in no time.

Love your continued authenticity!!! This has happened to me a few times. Each time I reached out to the buyer and offered an alternate solution. Thankfully, 50% of the time the buyer declined my solution and didn’t leave a bad review. The other half they approved my alternate solution. In that case, I selected buyer canceled and they bought another item for a discount.

So in the past, I will explain the situation to customer and ask them if they'd like to switch to a similar item or comparable item and then offer a 50% discount. If they do not want that they'll usually say 'just cancel the order'. That gives me the go ahead to choose buyer chose to cancel. Has worked for me. Thanks for all your great info. I’m always having to cancel with people. They accept offers and then don’t pay 🙄
So by the next day or next after sending them a ton of these Ebay generated messages saying something like, I’m not shipping until you pay..…if still nothing….I think it’s them just begging me to cancel the order 😂
So I then click just that in my Ebay multiple choice reasons why 😅 Never had any trouble so far. But, I am still a new reseller. Started full force in February 2024.
Did it about 18 years ago with dress shoes only, but not anything like I’m doing now. 😍
Now….with all that being said…we did just get back from Destin beach. I trained by brother next door on how to ship so I wouldn’t have to close the doors. 😂 I gave some summer clothes out to family members. I canceled the listings. I clicked on no longer available. On one, I selected (other). Just to have an odd ball 😂 We’ll see .
If I lose Top rated seller.

I’ll get it back because my choices in clothing are getting better and better and have no choice but to disappear off my shelves 😊

For approximately 7 -10 items that I double sold or lost over the last few years I have ended up mailing the customer a similar item with a handwritten note explaining my error and profusely apologizing for it. Once I would see the item arrived I ended up refunding them in full. Every single time I would get rave reviews but it hit my pocketbook with an ouch. So the last time I did it my customer left a negative review. And my 100% feedback dropped instantly. So that brings me all the way around to point A and I am at a loss on what to do in the future the only thing that I think is for sure is I have to just be better at keeping my inventory 100% on point and since eBay has quadrupled Poshmark I’m considering dropping posh and sticking to just the one website. Your defect rate is affected only by the out of stock/item unavailable cancelation. If a buyer requests a cancelation or the address is wrong, it doesn't. Ebay does not ask for proof the buyer canceled unless the buyer contests the cancelation. If you find an item is out of stock you can offer the buyer a choice of a replacement or a refund. If the buyer chooses the latter you can choose "buyer requested cancelation". What you can't do is decide for the buyer to avoid the defect. The rep was probably trying to explain this but unfortunately many of the reps are not native english speakers and cannot always explain the differences clearly.

So here’s two ways to handle these.
Reach out to the buyer and be honest. Apologize to them and ask if it is ok to cancel their order and give a full refund. Most of the time they say yes, and you can put “buyer asked to cancel”
OR (and this is kind of cheating)
Send the customer a random crappy item. When they receive it, they reach out, you apologize, and you give the full refund. You’re out the money for shipping, but it’s worth saving your top rated status.

Here is a tip, not sure how this applies to using a cross-listing app ( I don't use one)
When i cross-post to Poshmark, i specifically don't put a SKU number in the Poshmark listing.
This forces me to go to the eBay app to pull the item for shipping.
If i have forgotten to delist the item on eBay, this creates a double check for me to delist it.

First off, I'm sorry you lost your top rated seller status. When I lost mine, it took two months to get it back as well and very much affected my store. I would say that what the Ebay rep was trying to say was that if you click on buyer asked to cancel tab, it does not count against you. But I agree, she should not have stated that is what you need to click on. Because for obvious reasons, if they did not ask to cancel then it is kind of like cheating. This is me...what I do...and they may be cracking down on this more, but I will message the person and offer them an opportunity to look in my closet and choose something comparable. If they say no, then I click on buyer asked to cancel. So far this has worked and no one has become upset and has been very understanding. It is the worst feeling when this happens.

If you are going to cross list you have to really pay attention to what sells. It’s too much to deal with when cross listing on more than 2+ apps especially if you have a large store. So I stick to only 2 platforms. Even when using apps I still double check. As far as cancelling an item on eBay I never do that unless the buyer ask to cancel or they send a cancellation request. Some people would just send out an item that is similar to the item that sold instead of just flat out cancelling just to avoid the defect. So you would get a INAD instead which is not a bad as if you were to cancel the item.

Also, last resort, if you double sell a more common item, you could purchase the item off of eBay, or another site, once you get the item, mail it to your buyer.

Best advice don't use cross platform apps. This is exactly why, you get sales on other platforms but if you have alot of inventory it's never gonna accurately delist them and if you sell something you don't have i.e item not instock ebay will always ding you especially if you do it alot. You don't get dinged if you do the buyer requested to cancel but the buyer can counter and say no i didn't i want my item and you obviously sold it on another platform which ebay definately doesn't like. People get dinged alot because they try and cut corners, those cross platform apps are an example not being rude but either you have to do the work of listing yourself on other platforms or to me pick a platform you like the most and go 110% on. Ebay has the biggest reach of any platform and has the highest sales for a reason but if for some reason if your sales are better on another platform put all your resources there. Honestly if the other app isn't making you at least half of the ebay money then why risk your bread winner.

I watched your first video and when to said to just select the client asked to cancel option in your situation, it was clear this was trying to game the system.
