    Hi I have a question regarding setting up Redcap for multiple departments in a single organisation. example: I have a one redcap installation and I need to give access to 3 departments to create their own projects. each department has their confidential information which should not be visible to other department. how can we do this within redcap?

      There is a feature called 'data access groups' or "DAGS", you should see this on the left side menu. You may need to grant yourself more permission in the user rights menu if you do not see it. This menu should let you do what you're looking for and restrict access

    thanks a lot for the great video! Somehow I can't add/edit records.. whenever I try to do so, I can click the green "add record" button but then only the Legend for icon status shows up... there is no chart or grid with the questions what so ever... I´m a little lost here, maybe someone can help me out... thanks a lot!

    A "form" is specifically an instrument that is not a survey. Form and instrument are not interchangeable.

    Can you please help me with this, it's the one thing preventing me from saying "yes" to completing this for my new job, and I desperately need to do so. I need a Submission I.D number to auto populate across all my surveys, baseline, follow up, discharge... How can I do this?

      Id recommend creating a submission ID Number on the first form in your project. you could use the record_id field to act as a submission ID. then, use the action tag @DEFAULT = '[variable_name_here]' with a text box field on all other forms to auto populate it. Look for the red buttons that say 'learn about action tags' it will help!

But, could you please answer to the following: the same way as one can create unlimited repeated forms using the basic (non-longitudinal) method, is it also possible to create unlimited repeated follow-up visits (events) using the longitudinal method instead of defining a specific set of events?     I recently started with REDCap and I am facing a situation where, I have a date field in Form A and multiple choice question in Form B. I am trying to display Form C, if the date duration is over 50 days from the value at Form A AND the value in Form B = X or Y. However, I am succeeding with only the later part of the logic from Form B. the duration is not working well as expected. I am not able to figure out how to fix this. Any suggestions?

    Hi, I am strugging to send surveys based on time difference. Example send forst survey 5 days after visit and 2nd after 30 days and 3rd after 3 months. I am trying "datediff('today', [visit_date], "d", "ymd")=5" but its not working.

    Great work. i need your help to find out total stay during hospital stay. with days and times too. like this Date of admission: Time of admission: Date of discharge: Time of discharge: Total stay at hospital date and time

      Step 1: Find the difference in days. If you have the dates in the format of Year-Month-Day (e.g., 2023-06-23), you can subtract the date of admission from the date of discharge. This will give you the number of full days spent in the hospital. Step 2: Adjust for the admission and discharge times. You'll then need to adjust this total by the admission and discharge times. For instance, if a patient was admitted at 15:00 (or 3 PM) and discharged at 10:00 (or 10 AM), you'd subtract 5 hours from your total (since the last day in the hospital was not a full 24-hour day). The total stay in the hospital would then be the difference in days calculated in Step 1, adjusted by the difference in hours calculated in Step 2. ***When you're working with times, be sure to convert everything into the same units (for instance, you might convert days to hours, or you might convert hours to fractions of a day).***

    I am using a repeated instrument to allow the research coordinator (RC) to enter hours worked for our student research assistants (RA). The RC enters their name and date they are submitting the hours. The next instrument is the repeating instrument in which the RC enters the name of the student RA, the project they are working on, and up to 10 dates and the hours worked for each of the 10 dates. At the end of the survey they can opt to enter hours for another student RA. The RC wants a record of the information they entered. I would like to either (1) display Survey Completion Text that lists the student RA's name, and project on which they worked along with the date and hours worked on up to 10 dates. I can do this with non-repeating forms, but when I have repeating forms, how do I tell redcap to show data from 2 or more repeating instances? Thanks in advance!

      Hi there, you're going to want to look at smart-variables. REDCap offers a few options for repeating instances, however it may not solve everything you're looking for. Also it depends on the version you are on For example you can use [ra_name][previous-instance] in your survey completion text to show the name of the previous repeat form. or [hours][previous-instance] . (im just guessing at your variable names) But the full list of commands is [variable_name][first-instance] [variable_name][last-instance] [variable_name][previous-instance] Id recommend checking it out under the green button in the form designer that says smart variables. Hope this helps!

    This workaround is asking for trouble. Why can Redcap not implement a better handling of randomization or provide a way for programmers to script it. Manually creating new records and then moving data over is not a great solution for very large and automated studies.

      Not really possible at this time :( However you can make 2 or 3 questions with different number of choices and use branching logic to show the correct one based on a selection made in a previous question. Hope this helps!

      Use a section header and pipe the field values from form-1 to form-2 if the values are fixed and cannot be changed. The idea is to minimize multiple fields holding the same value. The @DEFAULT=[form1_field] action tag requires saving form-2 and can be overwritten with a different value. If you must use an actual field and requires piping from another form with exact values that cannot be changed, use the @VALUE action tag instead.

    Hi, I have question on @DEFAULT. I create 2 forms (Form 1 and Form 2) and entered all the data in these 2 forms. After completed entered data in Form 1 and 2, I then create a 3 form (Form 3) where all the fields in Form 3 are data stored in Form 1 and Form 2 that I created earlier. I used @DEFAULT to assign the value to Form 3, but the @DEFAUT doesn't seems to set the value in Form 3 based on data Form 1 and 2 . Kindly advise. Your earlier reply is most appreciated. Thanks.

    Say I am using a repeat instrument over the span of several weeks. Is there any way to have the survey questions randomize so that they appear in different orders each week?

      Excellent question, one we've gotten a few times. the order of questions cannot be randomized in REDCap, only the question answers using an action tag. You can check with your local redcap admin if there is any external module that might help with that functionality.

      There is an external module to randomize questions in a matrix. External modules must be updated by the person or group that created them every time there is a REDCap upgrade. So usually, REDCap admins do not enable or make them available for use as they are prone to break-fix service.
