Great overview. Helped me stand up a project quickly.
Huge value Marquis, thank you for sharing that. Keep up the great work.
Thank you for watching! I’m glad you found the video helpful!
Hi mate. I have just started using Asana and I want to build it to monitor my KPIs. How do I do that? I don’t see how I can use it to monitor safety and quality KPIS (percentages, money savings, how many inspections done per month, etc).
Our organization consists of a large design team. Our design team consists of sub teams, UX Team, UI Team, UXR Team, UXW Team, SD Team, Dev Team, PO Team. All these teams are working on a Mobile App. When setting up a project, how to do we connect or assign specific teams to a project?
The awkward moment when I realize that I made all these mistakes as an Asana newbie 😅
Hey, it happens to all of us! That’s exactly why I make these videos.
Hey Marquis. Do you know if we can have multiple version of the custom onboarding? For example, if we have different teams with different processes?
Hey Arthur, not yet. Although the product team is looking at role based onboarding as part of the roadmap.
@@MarquisMurray awesome thanks for your answer 😉
Great video btw 😎
@@Arthur13005you’re welcome!
@@Arthur13005thank you, sir!
This was really helpful and I appreciate the breakdown/explanations. Definitely what I needed to help me decide of whether I wanted to use Asana, Notion or Clickup for documentation organization + PM.
I’m so glad you found the video helpful! How do you use Asana day to day?
Do you have the video for the new hire template?
Sorry, what do you mean? Are you looking for the template?
I don't watch anything on RUclips, I sometimes watch yours :) do you want to record some stuff together, like discussion style? that's my favorite format at the moment. I believe that's great to watch, great to shoot and doesn't need as much preparation as a demo. It is also usually evergreen.
You’re right. Maybe it’s the format I need to play with. Thanks for weighing in!
The quality!!! Amazing work you have done. Keep going!!
Thank you!
great walk-through. Thanks!
Glad to hear! Thanks for watching!
I cant wait to implement this
Good luck! Let me know how it turns out!
It’s overwhelming is all i’ll say. Great tool for agencies and SMEs with diversified needs.
The UI certainly could use a bit more work.
Thank you for this
You're welcome!
😂This is not for new users. It's for people already using desktop asana
You’re right. Hope you found it helpful.
Great video! Thank you very much for your great work. It´s great you gave us an insight as to all that can be done with Asana, but concentrated on the basics. The only thing that would be nice to know as well, are the limits of the paid version, as a lot of the features you show are with a paid version. (My only comment is that I just found the background music very distracting, until I finally got used to it). ;)
Thanks for the feedback! I've made a video covering all Asana plans and the features available in each tier. Check it out here ruclips.net/video/ugEajZjOT4g/видео.html
Is your Learning Commons a portfolio or project?
The Learning Commons is a team with different projects in it.
@@MarquisMurray thank you! I just love your channel. I founded and run @PESAlliance after my son had half his brain removed to stop refractory epilepsy. We are a small team and challenged by managing different projects and tasks. Your channel is a lifesaver!
This is so helpful!
thank you mr. awesome
So nice of you to say, thank you!
Seems like a great tool. Video "a must guide for all beginners" - Overwhelming for a beginner user and one who is not a native tech person; speed was way to fast; takeaways: there is a lot of stuff to learn and not much remembered. Speaker could share how long it might actually take to learn all this material. If I was going to redo this video, I'd take half as long, go over the highlights rather than click and show every option.
Thanks for the feedback. This original video is still getting lots of views. Maybe it will help? ruclips.net/video/87YlaMG2rtw/видео.htmlsi=hRFIC4C1TSZZVhI_
Super helpful!
Glad you think so!
My mind was blown at least 8 times! Thank you for the in depth walkthrough. The case study situations really helped to humanize the process you built out. Quick question: our team is internal, and we use individual projects for each new activation / campaign we do as a marketing team. For example, we might activate at an event each year, and the event is the milestone - so we'll have articles, social, lots of supporting design, and copy all involved. Our main problem is that there are so many tasks and sub tasks, which gets super overwhelming. How would you recommend adapting something like that to the structure you've got here? Is it a shift in how we are thinking about GTMs, or is there a video you've got that might solve this? Thank you :)
Thanks so much for watching. I'm glad the video helped! If one project per campaign is too much to handle with the different tasks and subtasks, I would try creating a project for each aspect of the campaign. One for design assets, one for social media, one for paid ads, etc. Then you can house of group all of those projects into a portfolio so see the progress of each deliverable. This route also gives you the option to report on each project and give an individual status update on each project. I hope that helps!
Projects by complexity🧡
Great video, thank you! Curious if and how you leverage subtasks with this workflow?
The subtasks are simply multi homed to either a new project as tasks, or multi homed to the same project so that they act as tasks.
Great content. Thanks! ❤
Glad you enjoyed it!
Love your videos, but your lower third at the beginning has your name spelled wrong. May want to fix that and re-upload since this video is so new.
Hi Walter, I am glad you like my videos! Thank you for bringing this to my attention. I will make sure to correct the spelling error in future videos.
How can i copy the template to make multiple different ones
Hey, thanks for watching! You could try to duplicate the original template as many times as you need, and then edit each duplicated template. Hope this helps!
Great tips! Thanks!
You're so welcome!
asana god
Thanks for your comment!
Thanks! This is such an effective use case! I'm curious, I'm on an Advanced plan as an organization though I am not able to have projects be a dropdown for a particular team like you've setup. It looks like you've got CRM Lite as a team, with projects of Contacts, Deal Pipeline, and Newsletter Subscribers that can be seen underneath in the left sidebar. How did you do that? Thanks in advance
Hi Hrehan, I am glad you liked the video! Great question, what you saw is a part of an A/B testing that Asana was doing when the video was filmed. If you want to visualize the projects living under a Team, you can hover over the Team's name and all the projects will show up in a pop-up. Also, these articles might help you: forum.asana.com/t/projects-do-not-show-nested-under-each-team/166537 forum.asana.com/t/why-are-projects-no-longer-visibly-nested-under-teams/490407/12 Hope this helps!
Hey Marquis, thank you for such a valuable video! It's really made me so much more aware of the power of Asana and the opportunities I haven't taken advantage of - both simple things and advanced things. I also really appreciate that you covered the philosophy of it too
You're so welcome! I'm glad that you found what you were looking for!
Great workshop!
Thank you!
This is well detail
Glad it was helpful! Be sure to check out the updated 2024 version of this video.
Thanks for this incredible video, I do have 2 questions, 1, In agile, we have what is called sprint, which happens every 2 weeks, You use backlog and story in the scrum stage, Great, l guess the 'story' represents product/project backlog. Do you think it might be more meaningful if you switch it around, turning the "story" into backlog while "backlog' represent Sprint?
Good question. The story number in the scrum stage is for visibility and tracking, but not needed. Feel free to change it around. I always encourage viewers to consider their own use case, so do what makes sense for you. I’d keep the backlog it’s own project and pull in items for each sprint into a master sprint board that never changes, or a templated sprint project for each new (2 week) sprint. Hope that helps!
Hey Marquis, I'd be interested to get your thoughts on how an agency that has multiple clients and team members working across multiple clients would use Asana to operate Scrum. Is there a backlog per client on one large backlog with a client name custom field? Is there a sprint project per client or one sprint with all client work in it? How would stories work in these instances? Each client is going to have stories that are different from others. Should you have a [Client name} Story custom field or just lump them all into one custom field? Thanks for any feedback or resources you're able to provide.
Great question! Like anything, this would require testing, but I’d start with a separate client backlog for everyone. You can use the new ID tag custom field to classify each client and then add each client item to a master sprint board by multi homing those items/tasks to the appropriate sprint period and lump them into one. Then you can have the ID field to see which client they’re in. You’d also be able to use the “Projects” field, but IDs could serve as a quick reference for you. Hope that helps.
I appreciate that you walk through the steps with (quasi) real examples. It's one thing to know that tasks can be multi-homed or linked, and another to see how to put that into play in useful / impactful ways. As many others say, very helpful content, thanks!
Glad it was helpful!
3.5 years later and this was INCREDIBLY helpful for me diving into creating Season 2 of my podcast and needing to be organized with it all, thank you so much!!
I'm glad my video helped with your podcast's growth. Best of luck and thanks for your kind words!
Hi Marquis, thanks for the great video. Question for you: I am building a new product, so I have hundreds of user stories. In your example, would your stories be more like epics? Seems like this approach could be tedious if I had to make a label for every story ("Story 1", "Story 2", ... "Story 150"). Or is that just what I need to do?
Good question. I’d say that at the time, this is what you would have to do, but you can now use ID tag custom fields to generate the story numbers automatically when items are added to a sprint. Look into that to see if it would work for your use case.
Wow!
Glad you saw the video! Thanks for the great question.
Very well and clearly explained. Thank you!
Thank you for the kind words! You're very welcome!
This video was so helpful thank you
You're so welcome!
Can you zap in your payment processing system to Asana?
Hi, thanks for watching! Yes, you can integrate your payment processing system like Stripe with Asana using Zapier to automate various workflows. My recommendation would be to cross-check the available automation options in Asana and Zapier to see which ones you can create based on your payment processing system.
BRILLIANT intro to Asana. Confirmed my decision to lauch new business with Asana. Thank you!🙏🏾
Thank you so much! I'm glad you found the tutorial helpful. Best of luck with your new business using Asana!
This is awesome! Thanks for sharing!
AI typically does a good job parsing data, reforming, and re-composing data or generative base on common formats. It seems most beneficial when it can parse content and create tasks or help compose summaries. I feel one of the bigger challenges with projects or multiple projects is getting all the data about a these things into the platform and organizing it all. To save us time and many clicks it would be nice to see some form of a wizard menu to create multi project effort with portfolio memberships. Ai is most helpful often formatting and composing data, and also getting ballpark answers to questions which may be a blocker. At some point if we have most of the data for project setups AI should be able to ingest and automagically setup our projects based on preferred templates.
Thanks for sharing your thoughts! I agree, Asana's investment in AI is very promising. Hopefully we'll see even more innovative features like the ones you mentioned in the near future.
Do you have a flow chart of how to create each one of these? I love the Deal Pipeline and how you can move someone from task to task. Do you have a cheat sheet we can go off of?
I don't have one at the moment, but I can work on that. Thanks for the suggestion.
Thank you for this video! It helped me undertand how the feature worked. But to answer your question; I don't know. Everything here needs to be set up manually. It's inside Asana, yet it doesn't integrate with the system at all. The only advantage I see in using this instead of a spreadsheet is that it provides the names of the resources and projects. However, with a spreadsheet, I could at least have more complex formulas or scripts in place. I appreciate that they are considering this feature, but it is not usable yet.
Thank you, very helpful. Is there a way to add in the form a question around 'who is your proxy' and have the person being selected? While that column exist in the master board, I can't link it in the form. Any tips? Many thanks
Hey, I am glad you liked the video! So, even though there is no direct way to connect a question from a Form to a 'People' custom field (this type of fields allow you to add users), there is a workaround. You could create a Multi-Select question that lists the names. Then, create a rule to automatically assign the corresponding user when their name is selected in the Multi-Select dropdown. Hope this helps!
@@MarquisMurray Top! Thank you very much, it works well. Also with single select. ;)
@oceane1014 I’m glad!!
The smart status feature is a game changer!
Agreed! No more chasing down people for information and updates.
