When I record the pre-payment, can I delete the invoice number that appears? As I won't be raising an invoice for maybe a couple of weeks after, it may not be that invoice number I use.
Hi Sue. Xero automatically creates (effectively) an invoice for each prepayment. You can change this invoice number without any problems. However, regardless, when you do eventually come to raise the normal sales invoice in respect of the sale in the future, you can allocate any invoice number as normal. Hope it helps. This is a little bit closer to a solution for us. Unfortunately, this doesn't solve our biggest problem, which is tying a payment received through Stripe to the correct invoice. Ideally, we would send a quote to the customer, the client would click "Pay Deposit Now", we would receive payment to initiate services, and when the project is complete, we would send an invoice for the balance due. Your solution leaves us trying to figure out which payment to apply to what customer. For example, our wedding video customer may be the bride, but we had to send a Stripe payment module link through email to collect the deposit. Her father who has a different last name and email than the bride happily pays the deposit. Great! We received $1000 deposit. Now, which wedding does it go to? If we only had 2-3 video production projects a month, this would not be a serious issue, but we have 20-40 projects a month! Any ideas?
Thanks for watching the video and for the comment. Instead of sending just a Stripe payment request, could you not send a Stripe invoice (with wedding details on it) for the deposit amount? The Stripe invoices and payments could then be synced to Xero so that they are pulled in automatically (and a full matching of invoice to payment would be available in Stripe). Alternatively, you could use a shopping cart style system with Stipe and Xero integration which only creates the invoice when they checkout on the deposit (but their account could be prepopulated with their wedding details ready for the invoice). There will be a number of integrations that will allow you to specify a custom value to payment requests in Stripe (i.e. so that you can add a reference for the wedding into the payment link, so that it can be tracked). Another slightly rougher workaround would be to ensure that no deposit amounts requested were exactly the same (e.g. $1000.00, $1001.00, $1002.00, for example).

Hi Lindsey. Glad you found the video useful! Yes. The process of accounting for mortgages in Xero is pretty much exactly the same. You would perhaps want to use a different balance sheet code to differentiate the mortgage balance from a bank loan balance.. but the principles in the video will apply. Good luck!

Hi, we recently receive a loan from two different entities but in one transaction. How Can I split the loan? in order to reconcile it in Xero
Hi Sara. Thanks for the message. To split a single bank deposit against 2 account codes in Xero: - Go to the bank reconciliation screen - Click the "Create" tab on the loan advance transaction - Click the "Add details" link - Add multiple lines for the 2 accounts you wish to split the full amount across. - Click " Save Transaction" Hope it helps!
