Love your videos. Question for you: why would you use an expense management tool like Brex or Divvy if you can go through your credit card statement online and if your credit card expenses can feed into your quickbooks?

Thank you for this video. We began using Quicken then went into Quickbooks Desktop now Quickbooks Online as of 2024. I switched thinking it would be better bc we have multiple users and we have been remote since 2020. The switch was not seamless. We have 4 bank accounts. Suggestion from rep was to get QB Online Plus for primary acct. and QB Simple Start for other accts. It appears we can only have 2 users for Plus subscription. The other subscription only 1 user. Yes, online has quirks. Now I rec’d call that Enterprise may be a better choice. We are a small to medium labor union. Any suggestions?

I am about to set up a COA for a new nonprofit that will have fiscal hosting as one of it's core programs. Would you recommend, in this case, building the fiscally hosted projects into the categories or classes? Or stick with tags? Would love a vid on this!

Super helpful video. I have not used QuickBooks in so long. I have been using Intacct and NetSuite for over a decade. I work in fiscal sponsorship and have a project becoming their own 501c3 moving to QuickBooks and forgot the features available class, location, project. Outside of GL. Was able to advise on this from the video as far as potential set up with their new entity.

I am a bookkeeper for a non profit and when I first started with them I had no experience or training in the non profit sector. I’ve had to figure a lot of stuff out on my own, including cleanups due to a BADDDDD conversion from QBD to QBO, and have felt so so overwhelmed with it all. I’ve finally finished the cleanup after taking some courses from a tax auditor, and now I need to figure out how to manage the grants. It looks like the last person who managed the books had the COAset up with a lot of the “don’ts” on your list, and it is extraordinarily overwhelming to look at and try to figure out. I’m really thankful to have found you, and I hope that I can get things in order so that things work smoother for us.

Appreciated the intro to classes and the top level requirements. Well presented!!! Some screen shot/report examples would be great, but probably not worth your time to set up a demo db. Might be fun to do a "Life of an Event" type vid where accounts are created, transactions applied and end with the statement of activity by class.

Can you give some advise on clergy in a 501c3 non profit... can we create an expense account and designate an amount for the pastor who uses it at his own discretion instead of paying him in a salary (items such as clothes, gas, food, etc)? We already have the housing allowance in place - which is great! What are some other ways to take advantage of tax free options we may not know about?

Hi, I have 2 questions- 1)Payroll- We r US based company and pay x amount to an organization in Costa Rica…who receive and pay stuff on our behalf in Cost Rica. payroll has a Tax component-to it, should we book the entire amount or book different components in quick books.Would like to know what is the best practice as the other organization shows the bulk amount for payroll tax in their report. 2) same organization in Costa Rica further invest our amount and receive interest income on that amount, how should we record that amount in quick books.

What is best practice for tracking scholarships? For instance, we receive donations for certain named scholarships and then hold the funds until someone applies for the scholarship and then we write the check to the applicant.

Great video. While I am not in charge of our coalition of over 150 non-profit organizations, I am pretty sure that you would be a great asset. Is it possible to have you provide basic information about non-profit organizations financial controls in one of our weekly online meetings? We are applying for federal funding as a collective and it is imperative that we maintain the integrity and reputation of not only ourselves but our organizations.

I know you talked about financial controls and financial policy, but I'd say ensure to implement specifically a cash handling policy and ensure you have a good roll out plan for it. This would include training, implementation, monitoring and then finally reviewing and getting feedback for continuous improvement. Mishandling of cash, especially for small non-profits could be detrimental. At times it isn't even a matter of wilful misappropriation or fraud, but just human error or lack of training.
